Job summary

JCMG in Jefferson City, MO is seeking a Purchasing Coordinator to support sourcing of medical supplies, equipment, pharmaceuticals and services. This role ensures alignment with clinical needs, monitors inventory, and reconciles purchase orders to maintain uninterrupted patient care.

You will supervise two part-time receiving clerks and two part-time couriers, coordinate daily tasks, and reinforce vendor relationships while complying with healthcare regulations and internal policies.

Qualifications

• Associate’s or Bachelor’s degree in supply chain, healthcare administration, or equivalent experience.
• Healthcare purchasing experience preferred; familiarity with medical vendors, distributors and GPOs.
• Experience with computerized purchasing software.

RESPONSIBILITIES
Job Specific Competencies:

• Assist with purchasing medical supplies, equipment, pharmaceuticals, and services in accordance with clinical and operational needs.
• Monitor inventory levels in Central Store to ensure uninterrupted patient care; including ability to issue, track, and reconcile purchase orders.
• Proactively resolve invoice discrepancies and delivery issues.
• Coordinate with clinical departments to understand usage patterns and urgent needs.
• Maintain consistent communication and working relationships with approved healthcare vendors, distributors, and group purchasing organizations (GPO’s).
• Coordinate with supply vendors to manage inventory availability, substitutions, recalls, and back orders; including internal assistance and communication for recall management and product traceability
• Ensure compliance with healthcare regulations, accreditation standards, and internal policies.
• Develop and implement procedures related to critical supplies, emergency sourcing, and vendor escalation paths.
• Support contract pricing compliance and item standardization initiatives.
• Maintain accurate documentation for audits and regulatory reviews.
• Accurately maintain purchasing data in various material management systems.
• Assist with spend analysis, cost-saving initiatives, and budget tracking.
• Identify opportunities to improve purchasing efficiency and supply continuity.
• Assist with standardizing supplies and improving workflows.
• Supervise the two part-time receiving clerks and two part-time couriers, including coordination of daily assignments, workflow expectations, and communication of purchasing and delivery priorities.
• Other duties as assigned.
• Although core responsibilities are consistent, additional routine duties may be assigned based on the specific workflows and operation needs of the department.

MINIMUM QUALIFICATIONS

Education:

• Associate’s degree or bachelor’s degree in supply chain, Business Administration, Healthcare Administration, or equivalent experience

Experience:

• Medical office or other healthcare experience preferred, but not required
• Previous experience with computerized purchasing software
• Previous experience managing relationships with medical supply vendors, distributors, and/or group purchasing organizations (GPO’s)
