Responsibilities

• Monitor all open purchase orders to ensure suppliers meet committed delivery dates.
• Contact suppliers daily to verify order status, progress, and delivery dates.
• Obtain updated delivery commitments and communicate schedule changes.
• Escalate late or high-risk orders to Procurement Management.
• Develop strong working relationships with key suppliers.
• Coordinate with suppliers to resolve shortages, backorders, quality issues, and shipping delays.
• Ensure suppliers provide accurate shipping notifications, tracking information, packing lists, and invoices.
• Work with Project Managers, Manufacturing, Engineering, and Procurement to understand material priorities.
• Prioritize expediting activities based on production schedules and milestones.
• Help prevent production downtime caused by material shortages.
• Maintain accurate promise dates within the ERP system (IFS).
• Generate and distribute reports on Open Purchase Orders, Past Due Orders, Critical Material Status, OTTD, Expediting Activity, and supplier performance metrics.

Position Summary

The Procurement Expediter is responsible for ensuring materials, equipment, and services are delivered on time to support RK Mission Critical’s fast-paced manufacturing and construction operations. This position serves as the primary liaison between suppliers, buyers, project managers, logistics providers, and manufacturing to proactively identify and resolve delivery issues before they impact production or project schedules.

The ideal candidate is highly organized, detail-oriented, and excels at building relationships with suppliers while maintaining a strong sense of urgency.

Role Responsibilities

Purchase Order Expediting

• Monitor all open purchase orders to ensure suppliers meet committed delivery dates.
• Contact suppliers daily to verify order status, manufacturing progress, shipment schedules, and expected delivery dates.
• Obtain updated delivery commitments and communicate any schedule changes immediately.
• Escalate late or high-risk orders to Procurement Management.

Supplier Communication

• Develop strong working relationships with key suppliers.
• Coordinate with suppliers to resolve shortages, backorders, quality issues, shipping delays, and documentation discrepancies.
• Ensure suppliers provide accurate shipping notifications, tracking information, packing lists, and invoices.

Production & Project Support

• Work closely with Project Managers, Manufacturing, Engineering, and Procurement to understand material priorities.
• Prioritize expediting activities based on production schedules and critical project milestones.
• Help prevent production downtime caused by material shortages.

Reporting & Analytics

• Maintain accurate promise dates within the ERP system (IFS).
• Generate and distribute reports on:
  • Open Purchase Orders
  • Past Due Orders
  • Critical Material Status
  • Supplier On-Time Delivery (OTTD)
  • Expediting Activity
  • Track supplier performance metrics and identify recurring delivery issues.

Logistics Coordination

• Coordinate inbound shipments with suppliers and carriers.
• Expedite freight when necessary to support project schedules.
• Assist with resolving shipping discrepancies or transportation issues.

Cross-Functional Collaboration

• Support Buyers and Procurement Managers by monitoring supplier commitments.
• Participate in production planning and procurement meetings.
• Provide timely updates to internal stakeholders regarding material availability.
• Perform other duties as assigned

Qualifications

Required

• 2+ years of experience in procurement, purchasing, expediting, supply chain, manufacturing, or logistics.
• Strong organizational and time management skills.
• Excellent verbal and written communication.

• Proficiency with Microsoft Excel, Outlook, and ERP systems.

Preferred

• Experience in manufacturing or construction procurement.
• Experience with IFS ERP or similar ERP systems.
• Familiarity with mission critical, electrical, mechanical, or modular construction environments.
• Knowledge of supplier performance metrics such as On-Time Delivery (OTTD).
