Job summary

W3Global is seeking a highly organized data and financial operations professional to manage data analysis, bid tracking, PO management, accounts receivable, and financial reporting for our Oklahoma operations. This role demands advanced Excel, SAP Ariba, and QuickBooks proficiency to maintain accurate records and support management decisions.

Qualifications

• College degree or 5+ years of experience in finance, data analysis, or procurement.
• Advanced Excel skills including PivotTables, XLOOKUP/VLOOKUP, dashboards.
• Experience in bid coordination, PO tracking, and procurement documentation.
• Knowledge of SAP Ariba and QuickBooks accounting software.
• Strong AR, invoicing, collections, and account reconciliation experience.
• Understanding of GAAP and internal controls; detail-oriented and analytical.
• Excellent communication, organization, and problem-solving abilities.
• Willingness to travel to job sites as required.

Responsibilities

• Data analysis and reporting: collect, validate, and analyze data; create Excel dashboards and performance trackers.
• Bid tracking: maintain bid logs, monitor deadlines, track progress and outcomes; coordinate with teams.
• PO management: track POs from creation to fulfillment; reconcile with bids and documents.
• Accounts receivable: invoicing, billing records, payment tracking, aging reports, reconciliation.
• Financial management: maintain records, GL support, and internal-controls-aligned reporting.
• Systems & documentation: use Excel, SAP Ariba, QuickBooks to maintain records and streamline reporting.
• Communication & project support: coordinate with management, customers, vendors, and project teams.
• Billing administration: manage and issue invoices; maintain invoicing files and credit memos as needed.
• Invoicing processes: enter invoices into customer portals or via EDI.
• Office duties: basic clerical tasks as needed.
