Qualifications

  • Associate's or bachelor's degree in Business, Supply Chain Management, or related field, or equivalent work experience.
  • 1–3 years of experience in procurement, purchasing, or supply chain support.
  • Strong proficiency in Microsoft Excel.
  • Experience with ERP or procurement software (such as SAP, Oracle, or NetSuite) preferred.
  • Excellent organizational skills and attention to detail.
  • Strong written communication with internal and external stakeholders.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Basic understanding of purchasing and contract terms, as well as vendor management practices.
  • Familiarity with sourcing food-grade ingredients, packaging materials, or manufacturing supplies.
  • Understanding of GMP, food safety, or FSMA-related supplier documentation requirements.
  • Experience supporting procurement for multi-site facilities.
  • Experience coordinating inbound freight and carrier logistics (LTL/FTL, port drayage).
  • Exposure to supplier quality processes such as root cause analysis, corrective actions, and incoming inspection.
  • Primarily office-based; occasional visits to warehouse or production floor may be required.
  • Ability to sit for extended periods and use computer systems for most of the workday.

Responsibilities

  • Prepare, process, and track purchase orders using the ERP system; support demand forecasting.
  • Communicate with vendors to confirm pricing, availability, lead times, and delivery schedules; maintain vendor records.
  • Monitor inventory levels and collaborate with warehouse and operations teams to fulfill reorder needs.
  • Coordinate inbound freight and logistics by selecting and scheduling carriers; ensure contracted carriers are used.
  • Support procurement of food-grade ingredients and packaging materials; conduct supplier comparisons and cost-saving analyses.
  • Perform three-way matching of purchase orders, receiving documents, and invoices; resolve discrepancies with accounting.
  • Track order status and follow up on delays or backorders to ensure timely delivery; assist with supplier quality management and corrective actions.
  • Support contract administration, renewal tracking, and procurement reporting.
  • Ensure compliance with purchasing policies and regulatory sourcing requirements.

  • Perform three-way matching of purchase orders, receiving documents, and invoices; work with accounting to resolve discrepancies.
  • Track order status and proactively follow up on delayed or backordered shipments to ensure timely delivery.Assist with supplier quality management by documenting corrective actions, tracking root-cause analyses, and monitoring incoming quality metrics.
  • Support contract administration, including renewal tracking and basic terms review, and prepare procurement reports and analyses.
