If you have an interest in being part of contracts and solicitation operations for the State of Idaho’s largest agency, this Procurement Assistant position located in our downtown Boise office might just be the fit for you. The Division of Management Services’ Contracts and Procurement (CAPS) team supports all Department of Health and Welfare divisions and institutions. This is a great opportunity to support procurement operations, provide great customer service and be part of a supportive team.

This position may be eligible for telework after successful completion of probation.

EXAMPLE OF DUTIES:

  • Serve as a liaison between suppliers and CAPS teams
  • Monitor the services and products helpdesk inboxes
  • Post solicitations, set up folders and tracking spreadsheet
  • Track and maintain CAPS course training completion
  • Manage the collection of Certificate of Liability (COI) proof of required insurance coverage for contract holders
  • Follow up with parties (vendors, contract monitors, contract managers, etc.) on contract close-outs
  • Manage and update contract and services user templates
  • Maintain CAPS SharePoint site, review and update content, update files and links
  • Run various monthly reports
  • Manage public records requests to ensure compliance, thoroughness, and timeliness in processing

MINIMUM QUALIFICATIONS:

You must possess all the minimum qualifications below to pass the exam for this position.   • Experience monitoring record systems to identify and correct errors. Typically gained by at least one year of related experience.
  • Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs. Typically gained by at least one year of experience which frequently required interpreting and applying a variety of difficult rules, regulations, or policies to determine compliance or eligibility and explaining decisions to others.
  • Experience analyzing information and researching a variety of sources to identify and resolve problems or issues. Typically gained by at least one year of extensive research and analysis of highly complex or technical material requiring in-depth program knowledge.
  • Experience dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations. Typically gained by at least one year of experience dealing with individuals from varying cultural and socioeconomic backgrounds in stressful situations.
  • Experience entering and retrieving data using a computerized record system. Typically gained by at least six months of experience in a work setting where it was required to enter and retrieve data in a database records system.
  • Experience composing and proofreading business correspondence. Typically gained by at least one year of office experience which required composing and proofreading a variety of business documents on a regular basis.
