Job summary

Zoë Feldman Design in Washington, DC is seeking a Procurement Assistant to support our luxury residential projects from order through installation. You will work closely with the Procurement team and design studios to ensure timely deliveries, accurate documentation, and seamless execution across multiple projects.

The ideal candidate has 0–2 years in procurement or logistics, strong organizational skills, a proactive mindset, and a collaborative approach.

Qualifications

  • Bachelor’s degree in Business, Supply Chain, Interior Design, or related field preferred.
  • 0-2 years in procurement, logistics, or related role in interior design/architecture.
  • Familiarity with interior design procurement processes and terms.
  • ClickUp or other project management software experience preferred; Studio Designer a plus.

Responsibilities

  • Prepare projects for installations by tracking items through production and shipment.
  • Monitor orders from placement to delivery to workrooms or sites.
  • Coordinate with warehouses to receive, check in, and document items.
  • Update Studio Designer with inventory changes and notify teams.
  • Support procurement operations with the Procurement Manager and project teams.
  • Assist with errands, on-site support, and maintain organized storage.

Skills & Qualifications
  • Bachelor’s degree in Business, Supply Chain, Interior Design, or a related field preferred
  • 0-2 years of experience in procurement, logistics, operations, or a related role, preferably within an interior design or architecture firm
  • Familiarity with interior design procurement processes and terminology
  • ClickUp (or other project management software) experience preferred
  • Studio Designer experience preferred
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple orders and priorities simultaneously
  • Clear written and verbal communication skills
  • Proactive, solution-oriented mindset
  • Ability to follow established processes while identifying issues and escalating appropriately
  • Collaborative team player with a supportive, service-driven approach
Key Responsibilities
Installation & Delivery Preparation
  • Prepare projects for upcoming installations by tracking all items throughout production and shipment
  • Monitor orders from placement through delivery to the workroom, warehouse, or office
  • Work closely with receiving warehouses to ensure all delivered items are received, checked in, and documented accurately
  • Manage received packages and notify design teams when items are ready for inspection
  • Assist design teams and the Procurement Manager with scheduling deliveries as needed
Order Management & Tracking
  • Assist with order management, including processing, tracking, and managing purchase orders
  • Update order status and tracking information in Studio Designer accurately and consistently
  • Keep project teams informed of major delays or procurement-related concerns
  • Flag discrepancies, damages, or issues for review by the Procurement Manager
Inventory Management
  • Maintain and manage all ZF inventory, including adding new items and removing sold or reallocated products
  • Update Studio Designer with new inventory items and status changes
  • Communicate available inventory to design teams and promote reuse or resale across client projects
  • Maintain organized, accurate records of unused or in-stock products
Team Collaboration & Support
  • Work closely with the Procurement Manager to support studio-wide procurement operations
  • Coordinate with project teams to ensure procurement needs are met efficiently
  • Contribute to consistent procurement standards and workflows across the studio
Errands & On-the-Ground Support
  • Help keep the office package space and offsite storage unit organized
  • A valid drivers license is required
  • Access to a car is strongly preferred
Physical Requirements
  • Ability to lift and carry packages, samples, or materials up to 30 lbs as needed
  • Ability to stand or move for extended periods while receiving, inspecting, or organizing deliveries
  • Ability to travel occasionally to warehouses, workrooms, or project sites
  • Ability to communicate clearly with warehouse staff, vendors, and internal teams in both office and on-site environments
