Job summary

Paylocity in South Carolina is seeking a full-time, on-site Procurement Specialist to develop sourcing strategies, evaluate supplier proposals, and manage supplier documentation for regulatory compliance.

You will analyze spend, negotiate terms, and maintain supplier records while supporting inventory control and audits in a regulated healthcare environment.

Responsibilities

• Develop sourcing strategies for equipment, APIs, excipients, chemicals, drug products, and operating supplies.
• Evaluate supplier proposals and negotiate pricing, volume tiers, rebates, payment terms, service levels and other terms.
• Analyze spend, contract pricing, supplier performance, market conditions and opportunities; present recommendations to leadership.
• Qualify/requalify suppliers and maintain the Approved Supplier List; keep records organized and inspection ready.
• Review supplier documentation and regulatory risk indicators (FDA registration, certificates of analysis, licensure, DSCSA, recalls, etc.).
• Apply 503A sourcing requirements and company standards when approving suppliers; quarantine or reject nonconforming items.
• Develop supply forecasts and inventory targets using schedules, usage trends, lead times, expiration exposure, and risks.
• Investigate shortages, vendor exceptions, invoice discrepancies, inventory variances, and cost changes; recommend actions.
• Create or route purchase orders within budgets and approvals; maintain accurate item/inventory records.
• Support receiving, cycle counts, inventories, controlled-substance orders, recalls, audits, and accreditation surveys.

Key Responsibilities

• Develop sourcing strategies for equipment, active pharmaceutical ingredients, excipients, chemicals, drug products, and operating supplies.
• Evaluate supplier proposals and negotiate pricing, volume tiers, rebates, payment terms, service levels, and other commercial terms within delegated authority.
• Analyze spend, contract pricing, supplier performance, market conditions, and purchasing opportunities; present clear recommendations to leadership.
• Qualify and requalify suppliers, maintain the Approved Supplier List, and keep procurement records organized and inspection ready.
• Review supplier documentation and regulatory risk indicators, including FDA registration, certificates of analysis, licensure, DSCSA records, warning letters, import alerts, recalls, and related compliance information.
• Apply applicable 503A sourcing requirements and company standards when approving suppliers and materials; quarantine, reject, or escape nonconforming items as appropriate.
• Develop supply forecasts and inventory targets using production schedules, usage trends, lead times, expiration exposure, and continuity risks.
• Investigate shortages, vendor exceptions, invoice discrepancies, inventory variances, and material cost changes; recommend practical corrective action.
• Create, approve, or route purchase orders within established budgets and approval requirements, and maintain accurate item and inventory records.
• Support receiving, cycle counts, physical inventories, controlled-substance orders, recalls, audits, inspections, and accreditation surveys as needed.

• Suppliers and materials consistently meet regulatory, quality, and documentation requirements.
• Critical materials remain available, and supply disruptions are identified and addressed early.
• Inventory records are accurate, expiration exposure is controlled, and avoidable waste is reduced.
• Purchasing recommendations clearly balance compliance, quality, availability, operational risk, and cost.
• Cost efficiencies are verified and never achieved at the expense of product integrity or compliance.

Requirements

Required

• High school diploma or equivalent.
• Experience in procurement, purchasing, inventory management, or supply-chain coordination.
• Experience negotiating vendor pricing and purchasing terms.
• Strong analytical skills, including quote comparison, spend analysis, and cost justification; intermediate or better Microsoft Excel skills.
• Excellent accuracy, organization, and attention to detail, with the ability to manage competing priorities and deadlines.
• Professional written and verbal communication skills for working with vendors and internal teams.
• Ability to occasionally lift and carry up to 30 pounds and perform receiving or inventory-support duties, with or without reasonable accommodation.

Preferred

• Degree in supply-chain management, business administration, finance, or a related field.
• Active South Carolina Pharmacy Technician license in good standing.
• Procurement or inventory experience in a pharmacy, compounding laboratory, healthcare setting, or other regulated environment.
• Familiarity with supplier qualification, certificates of analysis, lot tracking, expiration control, 503A compounding requirements, DSCSA, or USP Chapters 795, 797, and 800.
