Job summary

Job Overview

Supervises employees in a highly technical sub‑specialty area of the clinical laboratory. Directly oversees all technical operations, enforces standard operating procedures, and ensures laboratory quality assurance standards are met. Provides overall leadership and daily operational management for the Clinical Laboratory Central Processing, Send Out, Call Center, and Outreach at the assigned site. Manages and facilitates standardization of technical performance and workflows across all UCSF ClinLab sites.

Responsibilities
  • Directly supervises assigned staff performing highly technical sub‑specialty operations. Monitors laboratory staff to ensure adherence to standard operating procedures and oversees laboratory tests to achieve quality results.
  • Maintains updated clinical policies and procedures manual for sub‑specialty areas. Monitors compliance with sub‑specialty processes to meet all clinical, health, environmental, and safety regulations.
  • Under the direction of Laboratory Management, implements innovations in research methods, processes, and new state‑of‑the‑art technologies. Implements quality assurance systems and is responsible for performance improvement.
  • Oversees the clinical applications in the laboratory information system. Verifies data accuracy by performing routine checks using queries, visual review, and other appropriate means. Stores, disseminates, and organizes technical data and clinical records.
  • Assists with laboratory budgeting and pricing of services. Conducts short‑ and long‑range budget planning to minimize deviations from actual versus budgeted expenses for personnel and non‑labor costs. Ensures proper care, maintenance, and documentation of equipment and availability of resources.
  • Serves as the laboratory’s primary point of contact for clinics, physicians, healthcare providers, and other staff. Represents the laboratory in clinical interactions with other departments at the medical center and university.
  • Advises management on improvements to research methods, processes, technology, and quality systems. Serves as a reliable resource for clinical laboratory questions and concerns.
  • Participates in recruiting, new employee orientation, performance evaluation, competency assessment, and development goal setting. Recommends staffing and budget changes to ensure efficient laboratory operation.
  • Assists in teaching clinical theory and skills to staff, ensuring continued competency. Mentors professionals learning new clinical laboratory techniques in a highly technical sub‑specialty area.
  • Actively manages space utilization, workspace configurations, and safety compliance for the Processing, Send Out, and other assigned sections.
  • Manages instrument service contracts, equipment repairs/maintenance, and supply inventories. Oversees IT‑related downtimes and procedures within the Processing and Send Out sections.
  • Serves as site administrator for external databases required by the laboratory. Validates laboratory data accuracy and designs reports presenting results to requesting entities.
  • Performs additional duties, projects, or special assignments as requested by the Manager or Director and completes them within an agreed time period.
Qualifications
  • Maintains current knowledge of laboratory concepts, new methodologies, and advances in specimen processing, automation, and procedures.
  • Applies principles in a clinical laboratory setting.
  • Knowledge of clinical laboratory, medical center, HR, and UC policies and processes.
  • Thorough knowledge of relevant sub‑specialty industry regulations, health and safety, federal, and state regulations.
  • Organizes assigned staff and laboratory operations efficiently and effectively.
  • Highly developed personal organizational skills.
  • Knowledge of quality assurance methods and ability to apply principles to design quality systems.
  • Proven ability to multitask and manage multiple projects through completion on schedule in a complex environment.
  • Flexibility to adjust to constantly changing priorities.
  • Excellent verbal and written communication skills for explaining technical concepts and advising stakeholders.
  • Proficiency in laboratory application programs and data checks using queries and visual review.
  • Analytical skills to evaluate issues and identify solutions within defined procedures and policies.
  • Demonstrates problem‑solving and critical‑thinking abilities.
  • Interpersonal skills to convey information with authority, handle sensitive matters, and interact with high‑level contacts.
Preferred Qualifications
  • Five years of recent experience in Processing, Send Out, and related sections, with at least three years in a supervisory position.
Education, Licenses & Certifications
  • Bachelor’s degree in a related area – Required
  • California Clinical Laboratory Scientist License or Limited License Clinical Lab Scientist – Required
  • Licensure in specialty area – Preferred
