Job summary

Soho House & Co. in New York, NY, seeks a Private Events Administrative Coordinator to support the private events sales team with inquiries, details collection, and timely responses.

You will handle vendor coordination, prepare BEOs, and assist with reports and documentation across properties. The role requires 1+ year of relevant experience, strong organization, and flexibility to work outside office hours.

Qualifications

  • Minimum 1+ years relevant experience.

Responsibilities

  • Support private events team with inquiries and ensure required details are collected.
  • Route inquiries to Private Events Manager and track follow-up and communication.
  • Provide administrative support throughout event planning and prepare BEOs and menus.
  • Print and distribute BEOs and kitchen sheets to culinary/operational teams.
  • Produce weekly reports on inquiry volume, bookings, and payments.
  • Coordinate scheduling for third-party vendors and flag discrepancies in advance of events.
  • Assist with additional administrative tasks as needed by Head of Private Events.

Job description

The Role…

ThePrivate Events Administrative Coordinatorsupports the private events sales team in daily duties, often as the first point of contact when a private event inquiry is received. An incredibly exciting, varied and rewarding job for someone with exceptional drive and high levels of organization. With high volume of inquiries, it is of the utmost importance that members receive an initial response quickly. The private events coordinator will provide members with an initial detailed response to their inquiry, providing all pertinent information on venue availability, cost and food & beverage service options.

Main Duties...
Inquiry & Communication Management
  • Support the private events team with inquiries
  • Ensure all required event details are collected prior to routing inquiries to the appropriate Private Events Manager.
  • Track and organize inquiries to ensure timely follow-up and clear communication.
  • Directing inquiries for other departments to the appropriate team members in a timely manner
Administrative Event Support
  • Provide administrative support throughout the event planning process.
  • Prepare, update, and organize BEOs, ensuring consistency across properties.
  • Print and distribute private event menus on a weekly basis.
  • Print and distribute kitchen sheets and BEO's to culinary and operational team members
Reporting & Documentation
  • Produce weekly reports for Private Events Managers and the Head of Private Events, including inquiry volume, booking status, and outstanding payments.
  • Maintain organized digital records for inquiries, BEOs, contracts, and financial documentation.
Third‑Party Vendor Coordination, Scheduling & Payments
  • Coordinate scheduling and logistics for third‑party vendors supporting private events, including but not limited to florists, rental companies, entertainment, production, and specialty services.
  • Ensure vendor schedules align with event timelines, BEOs, and property‑specific requirements.
  • Support Private Events Managers by flagging discrepancies, missing documentation, or payment issues in advance of events.
Additional Responsibilities
  • Support additional administrative tasks and projects as assigned by the Head of Private Events.
Requirements…
  • Minimum 1+ years relevant experience
  • An essential part of the job is being available on a flexible schedule and being willing to work outside “office hours”. For example, nights, weekends, and holidays (as needed and when applicable). This may or may not be required on a regular basis but is mandatory when needed.
  • Strong organizational and project management abilities.
  • Daily use of Microsoft Office Suite, Salesforce, Tripleseat and other systems.
  • Adaptable in various situations.
  • Professional manner and attitude.
  • Friendly and approachable.
  • Excellent written and oral communication skills.
  • Positive tone when answering business calls.
  • Ability to work effectively under time constraints and deadlines.

Physical Requirements
  • Must be able to seize, grasp, turn and hold objects with hands.
  • Must be able to work on your feet for at least 8 hours.
  • Fast paced movements are required to go from one part of the club to others.
  • Must be able to move, pull, carry, or lift at least 40 pounds.
  • Must be able to work in front of a computer screen for up to 5 hours per day.
  • Occasionally kneel, bend, crouch and climb as required.

In accordance with New York law, the salary range for this role if filled within New York is listed below. The range for the position in other geographies may vary based on market differences. The actual compensation will be determined based on experience and other factors permitted by law.
