The Position

We are seeking a Principal Administrative Business Partner (ABP) to provide high-level administrative and operational support to the VP of Oncology Translational Medicine at Genentech. This role requires an individual who is highly organized, proactive, and able to work independently in managing complex schedules and high-priority initiatives. The Principal ABP will act as a strategic partner to the VP, ensuring the seamless execution of daily operations, handling confidential matters with discretion, and facilitating the coordination of internal and external communications. The ideal candidate will anticipate the executive’s needs, resolve issues proactively, and deliver critical support in a fast-paced, innovation-driven environment.

The Opportunity:

As a valuable member on the Translational Medicine team you will be:

  • Executive Support: Managing day-to-day operations for the VP of Oncology Translational Medicine, including complex scheduling, calendar management, and coordination of meetings across multiple time zones.

  • Operational Efficiency: Independently handling administrative tasks and logistical needs, ensuring smooth operations and alignment with the VP’s strategic goals.

  • Confidentiality Management: Handling sensitive and confidential information with the highest level of professionalism and discretion, particularly in oncology-related work.

  • Event Coordination: Organizing and executing senior leadership meetings, department offsites, global summits, and conferences, ensuring every logistical detail is planned and executed flawlessly.

  • Strategic Calendar Management: Overseeing and maintaining the VP’s annual master calendar, managing internal and external engagements, and proactively addressing potential scheduling conflicts.

  • Cross-Functional Communication: Facilitating communication with key stakeholders, ensuring the VP’s readiness and preparedness for meetings, engagements, and decision-making processes.

  • Onboarding and Offboarding Support: Coordinating the onboarding and offboarding processes for Oncology Translational Medicine team members, ensuring a seamless transition and integration into the department.

  • Employee Engagement: Partnering with leadership to assess team engagement, share feedback, and suggest ideas for fostering a positive and inclusive team culture.

  • Travel and Expense Management: Organizing complex global travel arrangements, prepare detailed itineraries, and complete complex expense reports in a timely and accurate manner.

  • Project Management: Leading the planning and execution of department-wide initiatives and events, acting as a project manager for cross-functional preparation.

  • Technology Support: Managing and coordinating web-based meeting technologies, ensuring seamless virtual meetings and presentations.

  • Problem-Solving and Anticipation: Working proactively and independently to identify potential challenges and resolve issues with minimal direction, ensuring that the executive’s needs are met efficiently.

  • Collaboration with TM Admin Team: Working closely with the Translational Medicine administrative team to ensure alignment and streamline administrative processes across the department, fostering a cohesive and efficient working environment.

Who You Are:

  • Bachelor’s Degree or equivalent professional experience.

  • Minimum 5 years of experience providing administrative support at the executive level, preferably in a scientific or pharmaceutical environment.

  • Experience supporting oncology or biotech/pharmaceutical leaders is preferred.

  • Exceptional Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with senior leadership, internal teams, and external stakeholders.

  • Independence and Initiative: Proven ability to work independently, prioritize tasks, and manage complex situations with minimal direction.

  • Organizational Expertise: Excellent organizational skills and attention to detail, with the ability to manage multiple and changing priorities in a fast-paced environment.

  • Discretion and Confidentiality: Ability to handle sensitive and confidential information with the highest level of discretion and professionalism.

  • Event and Meeting Coordination: Experience in organizing and executing large-scale meetings and events, including handling logistics and vendor management.

  • Proficiency in Tools: Expertise in Google Suite (gMail, gCal, gSheets, gSlides, gMeet) and Zoom, with the ability to quickly adapt to new tools and technologies.

  • Collaborative Mindset: Strong interpersonal skills, with the ability to collaborate effectively across teams and with diverse stakeholders.

  • Problem-Solving: Ability to anticipate needs, identify potential issues, and resolve them proactively with minimal supervision.

  • Global Travel Coordination: Experience managing complex global travel logistics and preparing detailed itineraries.

  • Maturity and Professionalism: High level of maturity and the ability to perform well under pressure while maintaining a professional demeanor.

The expected salary range for this position based on the primary location of California for the Principal Administrative Business Partner role is $89,700- $166,700. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
