Qualifications

  • Experience with construction docs, project tracking systems, or ERP platforms.
  • Relevant industry certifications or licenses preferred where required.
  • Experience in construction, service, or multi-trade industries preferred.

Responsibilities

  • Coordinate pre-construction activities and workflow across departments.
  • Maintain and organize project documentation, plans, contracts, and logs.
  • Assist with scheduling, milestone tracking, bid coordination, and doc mgmt.
  • Coordinate communication between Pre-Construction, Estimating, Purchasing, PM, vendors, and internal teams.
  • Monitor submittals, RFIs, permits, approvals, and project timelines.
  • Maintain accurate project data and reporting in company systems.
  • Prepare reports, meeting notes, and project-related documentation.
  • Identify workflow issues and project delays; assist with resolutions.
  • Support process improvements and workflow standardization.
  • Ensure confidentiality of company, customer, vendor, and project data.

General Job Description
Position Overview

The Pre-Construction Coordinator is responsible for coordinating pre-construction activities, project setup processes, and workflow communication to support efficient project planning and execution. This role works closely with Estimating, Purchasing, Project Management, Design, vendors, subcontractors, and internal departments to ensure accurate documentation, scheduling, tracking, and operational alignment during the pre-construction phase.

Primary Responsibilities
  • Coordinate pre-construction activities, project setup tasks, and workflow processes across multiple departments.
  • Maintain and organize project documentation, plans, specifications, contracts, submittals, and tracking logs.
  • Assist with project scheduling, milestone tracking, bid coordination, and document management activities.
  • Coordinate communication between Pre-Construction, Estimating, Purchasing, Project Management, vendors, subcontractors, and internal departments.
  • Monitor submittals, RFIs, permits, approvals, and project timelines to support operational efficiency and project readiness.
  • Maintain accurate project data, reporting, and updates within company systems and project tracking platforms.
  • Prepare reports, meeting notes, spreadsheets, and project-related documentation to support operational and project management activities.
  • Identify workflow concerns, documentation issues, and project delays while assisting with resolution efforts.
  • Support operational process improvements and workflow standardization initiatives within the pre-construction department.
  • Ensure confidentiality and proper handling of company, customer, vendor, and project information.
  • Promote professionalism, accountability, organization, and strong internal customer service.
  • Perform additional duties as assigned.

  • English speaking, reading, and writing preferred, and required where necessary to perform job duties.

Education/Experience
  • High school diploma or GED required; associate’s or Bachelor’s degree in business administration, construction management, or related field preferred.
  • Previous project coordination, pre-construction, administrative, or construction support experience preferred.
  • Experience with construction documentation, project tracking systems, or ERP platforms preferred.
  • Relevant industry certifications or licenses preferred, and required where necessary to perform job duties.
  • Experience within construction, service, or multi-trade industries preferred.
Physical Requirements and Work Environment
  • Ability to work overtime, modified schedules, or occasional weekends as business needs require.
  • Work in a typical office environment, sitting at a desk and performing prolonged computer work, with occasional standing, walking, bending, and reaching.
  • Maintain dependable transportation and consistent, reliable attendance to meet customer service and operational needs.
  • Ability to exercise sound judgment and make independent decisions within established company policies and procedures.
  • Communicate in person, by phone, and electronically, including on a tablet, smartphone, and other office technology.
  • Travel as required to support project and operational needs.
  • Perform all work on-site and in person; this is not a remote or hybrid position.
  • Lift, carry, push, and pull at least 25 pounds.
