Pre and Post Award Senior Research Grants Administrator

We are seeking a Senior Research Grants Administrator (full-time, fully benefited Vitalief employee) with expertise in both pre-award and post-award functions to join our client’s Sponsored Awards Team. This role involves managing federal grant terminations, stop work orders, and appeals from a hands-on perspective. The ideal candidate will have a solid understanding of federal regulations, extensive experience with agencies such as NIH, NSF, DHHS, DoD, DoE, and the ability to work independently in a higher education research environment.

Salary Range

Market competitive, based on experience.

Work Location

100% remote; candidates must reside in EST or CST zones.

Key Responsibilities
  • Serve as the primary liaison for grant terminations, stop work orders, or funding suspensions.
  • Review notices for accuracy and compliance.
  • Coordinate responses with PIs, legal, and leadership.
  • Draft and submit appeals, supporting documentation, and corrective plans.
  • Track deadlines and manage sponsor correspondence.
  • Support closeout processes, including expenditure reconciliation and reporting.
  • Maintain detailed records of communications and decisions.
  • Provide guidance and training on grant termination and appeals.
  • Assist in proposal development, including budgets and compliance.
  • Interpret federal regulations like Uniform Guidance (2 CFR 200).
  • Ensure timely proposal submissions and reports.
  • Collaborate with finance, legal, and compliance teams.
  • Utilize Microsoft Office and institutional grant systems.
Required Skills
  • Bachelor’s degree required; advanced degree preferred.
  • 5-7+ years of research administration experience managing pre- and post-award functions.
  • Experience with NIH, NSF, DHHS, DoD, DoE, and other federal funders.
  • Strong knowledge of Uniform Guidance and sponsor-specific regulations.
  • Experience handling grant terminations and appeals.
  • Previous experience in academic or medical research settings.
  • Excellent communication, organization, and stakeholder management skills.
  • Ability to work independently under pressure across multiple projects.
  • Comfort with fast-paced, collaborative environments.
  • Occasional extended hours during peak periods.
  • Proficiency with Word, Excel, PowerPoint, and Teams.
