We are seeking a Senior Research Grants Administrator Consultant with expertise in both pre-award and post-award functions to join our client’s Sponsored Awards Team. This role involves managing federal grant terminations, stop work orders, and appeals from a hands-on perspective. The ideal candidate has a solid understanding of federal regulations, extensive experience with agencies such as NIH, NSF, DHHS, DoD, DoE, and thrives in a collaborative, higher education research environment. Ability to work independently with minimal supervision is essential.

Hourly Pay Rate: Market competitive, based on experience. The resource can work as a Vitalief temporary employee or as a 1099 contractor.

Contract Duration: 6 months with potential extension.

Work Location: 100% remote. Candidates must reside in EST or CST zones.

Key Responsibilities
  • Serve as the primary liaison for grant terminations, stop work orders, or funding suspensions from federal sponsors.
  • Review termination notices for accuracy and compliance with award terms.
  • Coordinate institutional responses with PIs, department chairs, legal counsel, and leadership.
  • Assist in drafting and submitting appeals, including preparing documentation and justifications.
  • Track deadlines and manage sponsor correspondence to ensure timely resolutions.
  • Support closeout of terminated awards, including reconciliation, reporting, and equipment disposition.
  • Maintain detailed records of communications, submissions, and decisions.
  • Provide guidance and training on grant termination scenarios and appeals.
  • Support proposal development, including budget creation, justifications, and compliance documentation.
  • Interpret and apply federal regulations like Uniform Guidance (2 CFR 200) and agency-specific rules.
  • Ensure timely submission and re-submission of proposals.
  • Coordinate progress reports, financial reports, and closeout documentation with PIs and departments.
  • Collaborate with finance, legal, and compliance teams throughout the grant lifecycle.
  • Utilize Microsoft Office suite and institutional grant management systems for reporting and collaboration.
Required Skills
  • Bachelor’s degree required; advanced degree preferred.
  • 5–7 years of progressive research administration experience in pre- and post-award functions.
  • Experience with federal funders like NIH, NSF, DHHS, DoD, DoE, etc.
  • Strong knowledge of Uniform Guidance (2 CFR 200) and sponsor-specific regulations.
  • Experience handling grant terminations and appeals.
  • Previous experience with academic institutions or medical centers.
  • Excellent communication, organization, problem-solving, and stakeholder management skills.
  • Ability to work independently and manage multiple deadlines under pressure.
  • Comfortable in a fast-paced, collaborative environment.
  • Availability for occasional extended hours during busy periods.
  • Proficiency with Word, Excel, PowerPoint, Microsoft Teams, and grant management systems.

Physical Demands: Prolonged sitting, working at a computer, standing, walking, visual perception, talking, hearing, lifting up to 20 lbs.
