Job description

You will be responsible for supervising and coordinating the administrative operations of the clinic. The person acting in this role will be the first point of contact for new patients and appointment coordination. In this role, you will be expected answer patient calls, work from a referral workqueue, organize faxes and distribute to the appropriate team member, and also communicate with patients via e-mail and Epic in-basket in a timely manner. You will work closely with healthcare providers, staff, and patients to ensure efficient clinic operations and excellent patient care.

Essential Functions- Coordinate daily clinic operations, ensuring smooth workflow and efficient utilization of resources.
-Manage and schedule primarily new patient appointments, consultations, and follow-up visits for patients.
-Maintain patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.
-Obtain outside medical records for new patients.
-Oversee patient registration, check-in, and check-out procedures, ensuring a positive patient experience.
-Supervise administrative staff, providing guidance, training, and support as needed.
-Coordinate staffing coverage for the clinic based on absences and needs
-Monitor and manage inventory levels of medical supplies, equipment, and other clinic resources.
-Handle patient inquiries, complaints, and concerns, resolving issues in a timely and satisfactory manner.
-Collaborate with healthcare providers and staff to develop and implement clinic policies, procedures, and protocols.
- may be asked to assist and cover unit coordinator role on the IVF unit.

Education
Bachelor's Degree Healthcare Management required or Bachelor's Degree Related Field of Study required

Licenses and Credentials

Experience
Clinic/Office/Hospital Experience 3-5 years required and Administrative Office Experience 3-5 years required and Leadership/Supervisory Experience 2-3 years preferred

Experience with EPIC HIM preferred.
