Job Summary

You will be responsible for supervising and coordinating the administrative operations of the clinic. The person acting in this role will be the first point of contact for new patients and appointment coordination. You will be expected to answer patient calls, work from a referral workqueue, organize faxes and distribute to the appropriate team member, and also communicate with patients via e-mail and Epic in-basket in a timely manner. You will work closely with healthcare providers, staff, and patients to ensure efficient clinic operations and excellent patient care.

Essential Functions

  • Coordinate daily clinic operations, ensuring smooth workflow and efficient utilization of resources.
  • Manage and schedule primarily new patient appointments, consultations, and follow-up visits for patients.
  • Maintain patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.
  • Obtain outside medical records for new patients.
  • Oversee patient registration, check-in, and check-out procedures, ensuring a positive patient experience.
  • Supervise administrative staff, providing guidance, training, and support as needed.
  • Coordinate staffing coverage for the clinic based on absences and needs.
  • Monitor and manage inventory levels of medical supplies, equipment, and other clinic resources.
  • Handle patient inquiries, complaints, and concerns, resolving issues in a timely and satisfactory manner.
  • Collaborate with healthcare providers and staff to develop and implement clinic policies, procedures, and protocols.
  • May be asked to assist and cover unit coordinator role on the IVF unit.

Qualifications

Education

  • Bachelor's Degree in Healthcare Management or a related field required.

Licenses and Credentials

Experience

  • Clinic/Office/Hospital Experience 3-5 years required.
  • Administrative Office Experience 3-5 years required.
  • Leadership/Supervisory Experience 2-3 years preferred.

Experience with EPIC HIM preferred.

Knowledge, Skills and Abilities

  • Strong knowledge of medical terminology, healthcare regulations, and industry standards.
  • Strong leadership and supervisory abilities.
  • Proficiency in using electronic health records and other clinic management software.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Effective communication and interpersonal skills.
  • Attention to detail and commitment to maintaining accuracy and confidentiality.
