Hogan Lovells is seeking an experienced Practice Specialist to support the Practice Area Lead of our Mergers & Acquisitions Group, as well as Partners and Associates. The candidate should exhibit strong attention to detail, exceptional communication skills, and the ability to handle confidential matters akin to a senior executive assistant. The ideal candidate is personable, enthusiastic, proactive, creative, team-oriented, and thrives in a fast-paced environment. This role is perfect for a professional looking to develop and take on significant responsibilities as a valued team member. The Practice Specialist will serve as the key contact both internally and externally for the Practice Area Lead.

The PRACTICE SPECIALIST supports Partners, Practice Leaders, and Business Managers within specific practices. Responsibilities include executing administrative and legal tasks, providing superior executive service, and maintaining an exceptional work product.

The Practice Specialist must have advanced knowledge of the practice areas and clients to ensure excellent client satisfaction. Maintaining confidentiality of sensitive firm and client information is essential.

The core responsibilities are outlined as follows:

PRACTICE GROUP RESPONSIBILITIES

  • Strategy and Business Planning: Assist Practice Leadership with developing initiatives to meet the firm’s strategic goals.
  • Marketing & Business Development: Support Practice Leadership in enhancing the firm’s profile, tracking practice developments, and developing policies aligned with strategic goals.
  • Communications: Draft weekly updates, newsletters, intranet posts, and news items to promote practice awareness.
  • Leadership Meetings/Events: Assist with planning and hosting meetings, events, and conferences.
  • Other: Maintain visibility at practice and firm events, participate in business initiatives, and attend practice meetings.

ADMINISTRATIVE RESPONSIBILITIES

  • Legal Support: Prepare and manage practice-specific documents, including audit responses, memorandums, pleadings, and binders, while ensuring confidentiality.
  • Scheduling: Manage calendars, coordinate meetings, and arrange video or conference calls.
  • Travel & Expenses: Coordinate travel and prepare expense reports, ensuring timely processing.
  • Time Recording: Record, review, and close time entries using firm standards.
  • Administrative Engagement: Respond professionally to requests, coordinate events, and perform ad-hoc projects.
  • Client Relations: Engage with clients, generate conflict inquiries, open new matters, and prepare engagement letters.
  • Document Production & Preservation: Create, edit, proofread documents, and maintain records in accordance with firm procedures.

Qualifications

Required Skills:

  • Typing speed of 60 wpm, excellent grammar, spelling, and communication skills.
  • Proficiency in Microsoft Office Suite, including PowerPoint, Excel, and Teams.
  • Strong problem-solving and organizational skills.
  • Ability to work independently, multi-task, and demonstrate initiative.
  • Excellent verbal and written communication skills.
  • Ability to build relationships and networks.
  • Flexible, adaptable, and professional demeanor.

Education & Experience:

  • Law firm or related experience preferred, ideally in a large firm or corporate environment.
  • Minimum of 5 years supporting senior leadership, with law firm experience a plus.
  • Experience leading teams and managing projects.
  • Strategic planning experience is desirable.

Additional Information

Core hours are Monday to Friday, 9:00 a.m. to 5:30 p.m. including lunch. Salary range is $110,000 to $115,000, with potential bonuses and benefits. Hogan Lovells is an Equal Opportunity Employer and complies with disability laws, providing reasonable accommodations upon request.
