The University of Miami Health System on the UHealth Campus invites applications for a Full Time Practice Manager. This role provides administrative direction, coordinates policies, and drives the success of a single-specialty medical practice.

The manager supervises clinical operations, analyzes performance, develops SOPs, and ensures compliance with university policies while supporting patients, physicians, and staff.

Qualifications

• Bachelor's degree required; minimum 3 years of relevant experience.
• Knowledge of business and management principles; ability to direct, manage, implement and evaluate operations; set department goals aligned with strategy.

Full Time Practice Manager

Location: UHealth Campus. This role works in the UHealth Campus.

Core Job Summary The Practice Manager provides administrative direction and coordination to the formulation, interpretation, and administration of current and long‑range policies, procedures, and programs of a single‑specialty practice. The incumbent also assumes responsibility for the overall operations, development, and success of our medical practice. In this important role, the successful applicant acts as an information resource and ambassador to patients, physicians, staff, and the general public.

Core Responsibilities

• Provides administrative and clinical supervision to ensure the effective implementation of patient services.
• Maintains liaison with administrators, physicians and outside organizations.
• Prepares operational and financial reports and analyses setting forth progress, adverse trends, and recommendations or conclusions.
• Develops operating policies and ensures compliance with University policies and procedures.
• Conducts meetings with subordinates to ensure compliance with established practices.
• Implements new policies and keeps employees abreast of current changes and standards.
• Reviews usage of the facility to increase efficiency and profitability.
• Maintains awareness of current medical technology, health insurance trends, and government regulations.
• Adheres to all program and agency policies and procedures.
• Maintains a positive professional relationship with agency and intra‑agency personnel.
• Conducts utilization reviews of clinical services and tracks clinical plan goals and objectives.
• Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
• Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

• Provides ancillary support to physicians, clinical activities, business etc.. including creating schedules in accordance with clinical expectations, clinical sites needs and time off requests for 38 physicians, ensuring quality assurance, coordinating patient care guidelines, and providing physician, Uconnect and Cerner support.
• Initiates and implements business practices to improve operations.
• Manages outpatient clinics, including opening/closing/revising clinic templates.
• Updates provider profile details in Kyruus to improve scheduling.
• Oversees reimbursement and reconciles and tracks provider CMEs.
• Supervises and trains the Clinical Business Operations Representatives (CBORs) on the ID clinical operations team for ID and HIV clinics (staff of 8–12).
• Provides guidance, mentorship, and at least quarterly feedback to staff.
• Performs annual performance evaluations (TALK) with staff.
• Issues and interprets operating, compliance, and clinical operations policies.
• Reviews and approves staff timesheets, reviews inconsistent data recordings.
• Creates Standard Operating Procedures (SOPs) for clinical operations team, including workflow processes, patient scheduling, incoming/outgoing faxes, uploading of medical records, clinic‑specific requirements, and insurance authorizations forms.
• Analyzes operating practices such as record keeping, forms control, office layout or workflow, communication practices, clinic templates (e.g., # of patient visit slots, new patient vs. follow‑up patient, etc.), and gives recommendations to increase division efficiency and extend divisional resources.
• Serves as liaison of various University departments and external vendors.
• Attends and provides feedback at University meetings regarding UCare, Epic implementation, HIPPA compliance, and third‑party payor contracts.
• Manages space logistics of the division’s operational locations, including the Clinical Research Building and Converge Miami.
• Submits clinic templates & DEP requests for new outpatient clinics.

Core Qualifications

• Bachelor’s degree in relevant field.
• Minimum 3 years of relevant experience.
• Knowledge, Skills and Attitudes: Knowledge of business and management principles. Ability to direct, manage, implement, and evaluate department operations. Ability to establish department goals and objectives that support the strategic plan. Ability to effectively plan, delegate and/or supervise the work of others. Ability to lead, motivate, develop and train others.
