JOB SUMMARY

Ensures a medical practice or group of related medical practices remains financially sustainable while delivering good customer service. Makes key business decisions and oversees day-to-day practice operations. Works to expand practice to make it more profitable and better meet the needs of the medical center and patients. Communicates and models mission and values of the hospital.

ESSENTIAL FUNCTIONS
  • Responsible for daily management of physician practice. Motivates staff and organizes day-to-day activity of the practices and continues to provide services based on their licensure.
  • Provides management, guidance and training to staff in daily practice operations. Performs duties of subordinate staff when necessary to maintain practice operations.
  • Communicates concerns and activities of the practice staff to leadership on an on-going basis.
  • Reviews processes and makes recommendations for improvement to achieve effective and efficient operations.
  • Monitors and manages staff utilization by coordinating daily distribution of staff. Maintains adequate coverage for the practice as needed.
  • Ensures accuracy of payroll submission. Ensures overtime and/or temporary personnel are within budget. Assists staff with payroll issues.
  • Understands and assures compliance for regulatory, accreditation and system process.
  • Conducts both weekly and/or monthly staff meetings to keep staff informed and address staff issues.
  • Coordinates planning and facilitating compliance with JCAHO, state and federal standards for the physician practices. Ensure compliance with system policy/procedure for all activities within practice.
  • Operates practice within the context of an established budget. Makes recommendations for quarterly budget and maximizes opportunities to meet or exceed budget guidelines.
  • Performs evaluation process for staff within each practice; compiles information for human resource department in a timely manner. Ensures that staff maintains licensure and certifications as required along with yearly competency evaluation. Provides on-going feedback to staff of performance throughout the year.
  • Counsels employees in disciplinary matters and obtains assistance from human resources appropriately for disciplinary actions and/or employee termination process.
  • Recruits, interviews and hires personnel as necessary and according to guidelines.
  • Serves on committees and assists other managers as requested by leadership .
  • Attends meetings for the benefit of department operations or personal management development and growth.
  • All managers must be competent on systems to relieve administrative staff if necessary.
  • I f the Clinic Manager has a Clinical License, they must keep an active license and maintain any competencies required by the licensure board and those for the area under their supervision.
  • Functions as a preceptor to orient new employees.
  • Performs other related duties as assigned or requested.
  • Adheres to dress code.
  • Adheres to medical center behavioral standards and addressing infection control, safety, and personnel guidelines.
  • Demonstrates knowledge of and compliance with the medical center code of conduct and applicable corporate policies and procedures.
  • Maintains patient confidentiality and treats patients and their families with respect and dignity.

JOB REQUIREMENTS

Skills in exercising a high degree of initiative, judgement and decision making. One year of experience in physician office policies, procedures, and equipment. One year of experience and knowledge of medical office operations, billing, and finance. Ability to assume responsibility and to organize and integrate organizational priorities. Ability to analyze and prepare comprehensive reports. Ability to communicate and collaborate with physicians, staff and management. Three years related experience is preferred. At least two years of operational management experience supervising at least five employees preferred. Previous experience in analyzing financial data as well as incorporating results of analysis into operations preferred.

EDUCATION AND LICENSURE

Minimum of high school degree or GED required; Certification in an approved healthcare field, 2 years practice manager experience, or an associate degree or higher in nursing, business administration, healthcare administration or related clinical area required.

WORKING CONDITIONS

Regularly exposed to infections and contagious diseases. May be exposed to patient elements.

There is a potential for being at risk of exposure to hazardous chemicals when working. Information regarding hazards and protective measures along with training on handling and storage of hazardous materials will be provided prior to initial assignment to work with hazardous chemicals, whenever the hazard changes , and on an annual basis.
