POSITION SUMMARY:

The Practice Manager’s responsibility is to supervise the non-clinical operations of the medical practice to ensure compliance with State and Federal regulations and company policies and procedures that ensure the safety, security and privacy of the staff and its customers. The individual provides support and guidance to staff so that the office runs efficiently and effectively.

ESSENTIAL FUNCTIONS:
Strategic Leadership
  • Serves as the liaison between multiple practices, the billing company, external vendors, and the corporate office.
  • Leads the organization’s efforts to create an effective, efficient model of care delivery that meets the standards of a patient centric practice.
  • Supervises patient scheduling, registration, financial counseling, medical records, billing and collection, data entry and processing.
Operational Excellence
  • Handles employee matters on behalf of the company including recruiting, interviewing, hiring, and terminating of employees according to company policy.
  • Responsible for employee performance management.
  • Ensures staffing scheduling is conducive to efficient day-to-day operations.
Collaboration and Reporting
  • Collaborates with leadership on policy development and standardization of criteria/processes across the organization.
  • Travels to all practices, demonstrating effective communication and organizational skills.
  • Conducts regular audits of employee performance, inventory levels, patient care, and safety standards, ensuring accurate reporting.
Compliance
  • Ensures compliance with state and federal regulations related to delivery and documentation of patient care.
  • Ensures employees receive necessary compliance training and education, monitoring and taking action on performance issues.
Team Development
  • Directs the output of a team of employees and provide ongoing training as needed regarding new guidelines or updated processes/policies.
  • Coordinates staff meetings for administrative and clinical staff.
  • Fosters a positive and collaborative work environment, promoting teamwork and cross-functional cooperation.
Performance Metrics
  • Establish and meet targets for accounts receivable efficiency, point of service collections, and additional relevant KPIs.
  • Communicate and track RCM metrics, as per Senior Leadership.
  • Facilitate transparency into the RCM and credentialing processes.
KNOWLEDGE, SKILLS & ABILITIES
  • Excellent communication skills (written and verbal), as well as exceptional people skills.
  • Exceptional leadership abilities with a problem-solving mindset and a focus on team engagement and transparency.
  • Ability to manage multiple priorities in a fast-paced environment while working professionally, courteously, collaboratively, and cooperatively in a team environment.
  • Ability to travel to various practices.
  • Ability to build partnerships with management, staff, and stakeholders to achieve department and organizational goals and objectives.
  • Proficient with Microsoft Office Suite, database administration and scanning applications.
EDUCATION & EXPERIENCE
  • Management experience, minimum 5 year in a medical practice, required.
  • Bachelor's degree in healthcare or any related field, required.
  • Master's degree in healthcare or any related field, preferred.
  • Experience in business and financial management.
  • Experience in HEDIS, MRA, ACO/PCF.
  • Experience in physician practice start-ups and managing multiple practices is preferred.
  • Experience in effectively managing teams and facilitating teamwork.
SUPERVISORY RESPONSIBILITIES

Manage the Practice Operations department and its associates.
