This role is responsible for leading strategic initiatives, overseeing daily office operations, improving workflows, managing key resources and vendor relationships, supporting compliance-aware processes, and enhancing the overall client experience.

Key Responsibilities

  • Lead key business initiatives, projects, planning rhythms, and accountability processes.
  • Manage office administration needs including vendor relationships, supplies, bill payment coordination, and expense documentation.
  • Improve operational systems, workflows, communication, reporting, office management rhythms, and practice-wide efficiency.
  • Coordinate marketing efforts and submissions, event materials, advertisements, social content, and client-facing communications through appropriate compliance review channels.
  • Support compliance oversight by helping ensure office processes, client communications, marketing activity, and documentation practices align with firm standards.
  • Manage change and cross-functional projects with clear timelines, ownership, and follow-through.
  • Oversee growth efforts including client events, community partnerships, sponsorships, and marketing initiatives.
Qualifications

The ideal candidate will bring:

  • 7+ years experience in financial services or professional services operations management, with strong organizational and time management skills.
  • Demonstrated ability to manage office procedures, workflows, and administrative functions in a client-focused environment.
  • Solid understanding of compliance, documentation standards, and best practices within a regulated industry; familiarity with wealth management or financial planning is preferred.
  • Strong communication skills, including the ability to interact professionally with clients, advisors, and team members, and to handle sensitive information with discretion.
  • Proficiency with office productivity software and CRM systems; comfort learning new technology platforms and tools.
  • Ability to balance strategic thinking with hands‑on execution.
  • Ability to lead and support staff, foster collaboration, and contribute to continuous process improvement.
  • Bachelor’s degree in business or a related field, or equivalent professional experience; prior practice management or office management experience is highly beneficial.
