Job summary

Epstein Becker Green is seeking a Practice Management Analyst to support the Health Care and Life Sciences (HCLS) practice. You will manage calendars, meetings, data, and materials for efficient operation of staffing, onboarding, billing, and practice initiatives.

You will partner with the Practice Manager and attorneys to ensure smooth workflows, confidential handling of sensitive information, and timely execution of projects and improvements across the HCLS team.

Qualifications

  • College degree required.
  • At least two years prior law firm experience preferred.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to handle confidential and sensitive matters.

Responsibilities

  • Provide day-to-day administrative and operational support to the Practice Manager for the Health Care and Life Sciences (HCLS) practice, overseeing business functions.
  • Coordinate calendars, meetings, agendas, materials, and follow-up items for HCLS practice meetings and related groups.
  • Compile and maintain staffing, utilization, billing, and productivity data to support reporting and analysis.
  • Coordinate attorney evaluations for Non-Partner Attorneys and Income Partners, including scheduling and documentation.
  • Assist with attorney billing rate adjustments, bonuses, and compensation processes and update firm systems.
  • Coordinate onboarding and integration activities for new HCLS attorneys and facilitate orientation logistics.
  • Support hiring approvals for lateral partners, associates, students, and Summer Associates by preparing requisitions and tracking approvals.
  • Assist with Summer Associate Program coordination, events, and evaluations.
  • Coordinate learning, development initiatives, and attorney engagement activities.
  • Attend practice meetings to take notes, track follow-ups, and distribute actions.

Responsibilities

Summary

Provide day-to-day administrative and operational support to the Practice Manager for the Health Care and Life Sciences (HCLS) practice in overseeing the business functions of the HCLS practice. This role serves as the primary support to the Practice Manager, coordinating data, logistics, and documentation across attorney staffing, evaluations, onboarding, billing rates, comp and bonus processes, and Steering Committee and practice group initiatives. The Practice Management Analyst helps ensure that projects led by the Practice Manager run smoothly by managing schedules, compiling and organizing data, drafting correspondence and materials, and serving as a responsive point of contact for attorneys and staff on routine matters. Reports directly to the Practice Manager (HCLS).

Primary Responsibilities

  • Provide administrative and operational support to the Practice Manager and practice leadership of the HCLS practice.
  • Coordinate calendars, meetings, agendas, meeting materials, and follow-up action items for HCLS practice meetings, including Steering Committee, Attorney Development Working Group, and other practice-related meetings.
  • Compile, organize, and maintain HCLS attorney staffing, utilization, billing, and productivity data to support Practice Manager reporting and analysis.
  • Coordinate the HCLS attorney evaluation process for Non-Partner Attorneys and Income Partners by scheduling meetings, preparing materials, tracking deadlines, maintaining evaluation records, attending relevant meetings, and documenting feedback sessions and follow up items.
  • Assist as needed with the attorney billing rate adjustment, bonus, and compensation processes for the HCLS practice by scheduling meetings, compiling data, preparing supporting materials, tracking approvals, and updating firm systems.
  • Coordinate administrative aspects of the partner promotion process for the HCLS practice, including organizing supporting documentation, tracking deadlines, and formatting promotion materials.
  • Maintain HCLS attorney staffing and secondment information to support staffing decisions and client engagement initiatives.
  • Coordinate the day-to-day administration of the Sponsor Program for HCLS participants, including scheduling activities, maintaining participant records, and tracking program milestones.
  • Support the HCLS Attorney Development Working Group by coordinating meetings, preparing materials, tracking action items, and distributing communications.
  • Serve as the primary administrative point of contact for routine HCLS attorney inquiries, providing timely assistance and escalating complex issues to the Practice Manager as appropriate.
  • Coordinate onboarding and integration activities for new HCLS attorneys, including scheduling introductions, maintaining onboarding checklists, and facilitating orientation logistics.
  • Support the HCLS attorney hiring approval process for lateral partners, associates, law students, and Summer Associates by preparing and submitting requisition forms, coordinating required approvals, and tracking the status of hiring requests through completion.
  • Assist with the coordination of the Summer Associate Program, including scheduling, event planning, project tracking, project, mid, and end-of-summer evaluations, and administrative support.
  • Support attorney learning and professional development initiatives in partnership with the Talent Development team.
  • Coordinate HCLS attorney networking events and other attorney engagement initiatives.
  • Schedule and coordinate HCLS attorney exit interviews and maintain related documentation.
  • Attend appropriate HCLS practice meetings to take notes, track follow-up items, and distribute action items.
  • Perform other administrative, operational, and project-based duties as assigned.

Education / Qualifications

  • College degree required.
  • Minimum of two years prior law firm experience preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with high attention to detail.
  • Ability to work both independently and collaboratively within a team setting.
  • Ability to exercise good judgment and discretion in handling confidential and sensitive matters.
  • Excellent customer service skills, including timely, courteous, and effective responses to inquiries.
  • Ability to juggle multiple projects and meet deadlines.
  • Strong computer skills. Proficiency in all Microsoft Office products (Word, Excel, Outlook and PowerPoint).
  • Ability to learn new technology.

Physical Requirements

Prolonged periods of sitting at a desk and working on a computer.

Qualifications

The compensation range for this position is $80,000 - $95,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered. In addition to the base salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.
