Job description

Sr. Practice Assistant for BWH Endocrinology

  1. Arranging new patient appointments and testing.
  2. Participating and leading team meetings with provider team leads, providing data metrics and recommendations to improve access.
  3. Training and mentoring new staff.
  4. Coordinating follow-up appointments and testing.
  5. Obtaining prior authorizations for future testing.
  6. Prioritizing phone calls and messages via in-basket and/or Outlook based on urgency.
  7. Rescheduling clinics to alternate dates based on provider availability.
  8. Arranging and opening provider schedules to address pertinent issues or complications.
  9. Answering patient messages and phone calls related to scheduling and forwarding relevant information to medical providers or clinical staff.
  10. Verifying that patients' insurances are accepted at BWH.
  11. If accepted, proceeding with scheduling; if not, working with insurance companies to obtain authorization for out-of-network visits, and contacting BWPO to negotiate rates.
  12. Reaching out to supplemental departments to schedule testing or consultations with other specialties.
  13. Coordinating office visits with other appointments, testing, or facilities.
  14. Requesting and reviewing medical records and imaging, including discs, for physician review.
  15. Arranging patient admissions through the admitting department.
  16. Coordinating outpatient appointments and confirming details with patients, including admission date, length of stay, location, and necessary preparations.
  17. Rescheduling and communicating appointment changes to patients.

Minimum education: High school diploma or GED.

Work experience: At least three years of medical office or administrative support experience. Additional training or post-secondary education preferred, with an associate's degree or higher being optional.
