Job summary

Baylor Scott & White Health is seeking a Practice Administrator 1 to manage strategic and daily operations for one or more practices in Texas. You will oversee revenue cycle, billing, patient experience, HR, budgeting, financial analysis, clinical workflows, and recruitment.

You will lead a team across 1-2 clinics with 1-5 providers and 5-25 staff, align operations with the Medical Group's goals, and partner with executives to drive performance and improve patient care.

Qualifications

  • Minimum of 2 years healthcare management experience in a physician practice.
  • Operational leadership across clinical and administrative teams.
  • Experience with Epic is a plus.
  • Strong budgeting, financial analysis and Excel skills.

Responsibilities

  • Ensures workflows start and end with high-quality patient care and aligns with system goals.
  • Drives and owns the practice's financial budget and outcomes; reviews monthly statements.
  • Prepares and reviews financial data with physicians; compares expenses to benchmarks.
  • Collaborates with executives to drive performance and implement policies.
  • Liaises between Medical Group and practices to coordinate departments and improve care.
  • Designs staffing models, hires, develops, and trains staff.
  • Supports provider recruitment and onboarding of new providers.

Job Summary

The Practice Administrator 1 manages strategic and daily operations of one or more practices. They balance daily goals with the Group's strategic vision to improve performance in Health, Experience, Affordability, Alignment, and Growth. Practices can be primary or specialty care services. This position oversees revenue cycle, billing, patient experience, human resources, budgeting, financial analysis, clinical workflows, and recruitment.

This role typically manages the following range of clinics, providers and staff:

  • 1 - 2 Clinics
  • 1 - 5 Providers
  • 5 - 25 Staff
Essential Functions Of The Role
  • Ensures practice workflows start and end with consistent, exceptional patient care. Achieves system goals by maintaining workflows that support and measure key clinical outcomes. Maintains an improvement mindset for the practice. Aligns practice and provider goals with those of the Medical Group. Designs operational plans for practice. Monitors workflow for continuous improvement opportunities.
  • Drives and owns the financial budget and outcome for the practice(s). Reviews monthly financial statements to ensure revenue and expenses are accurate. Reports and resolves any discrepancies with Accounting.
  • Prepares and reviews financial data and statistical reports with physicians monthly. Compares practice operating expenses to industry and internal Medical Group benchmarks. Examines expenses that exceed benchmarks and recommends cost reduction strategies. Implements these strategies. Examines financial and statistical reports to propose strategies to enhance the practice's financial well-being. Develops annual and five-year budgets using knowledge of costs, supplies, and labor. Monitors and manages revenue cycle to ensure maximum reimbursement for the practice. Ensures demographics and charges are posted timely and accurately. Ensures coding changes are identified and implemented.
  • Works closely with the Executive Committee and stakeholders to influence decisions and drive performance. Implements the operational plan. Works closely with MANAGER physicians to prepare, coordinate, record minutes, and co-facilitate monthly practice review meetings. Implements policies, procedures, and goals for the practice that align with Medical Group policies.
  • Acts as a liaison between the Medical Group and Practice(s) to coordinate with departments, resolve challenges, and improve patient care quality.
  • Participates in designing staffing models to optimize Practice workflow. Hires, develops, and trains staff, including evaluation, counseling, and termination recommendations.
  • Provides information to physicians, community groups, and referral agencies about practice programs and new providers. Collaborates with the marketing team. Identifies areas to better support community needs and manages initiatives to close gaps. Assists the executive committee with provider recruitment. Assists physicians with development, practice growth, and strategic planning. Onboards new providers, including Physicians and Advanced Practice Providers.
Key Success Factors
  • Minimum of 2 years previous healthcare management experience in a physician practice setting
  • Operations management experience leading clinical and operational teams required.
  • Experience with Epic is a plus.
  • Financial experience, budgeting, work with spreadsheets, accounting reporting systems and software, Excel and similar database reporting is a plus.
  • A deep knowledge of all practice disciplines is required. This includes revenue cycle, billing, patient experience, human resources, budgeting, financial analysis, clinical workflows, and recruitment.
  • Able to relate to, interact with and understand personality types and different kinds of people.
