West Coast Trial Lawyers is seeking a detail-oriented Post-Retention Intake Specialist to support the transition of newly retained clients into the firm. This role gathers and verifies client and case information, completes required documentation, and maintains accurate records in Filevine for handoff to the legal team.

You will manage a high volume of matters with precision, communicate in English and Spanish, and follow established intake protocols while protecting confidential client

Qualifications

• Bilingual fluency in English and Spanish required.
• Previous legal intake or post-retention intake experience preferred.
• Strong data-entry, documentation, and organizational skills.
• Excellent verbal communication and client service abilities.
• Ability to manage multiple matters in a fast-paced environment.
• Professional handling of confidential client information.

Responsibilities

Position Overview

West Coast Trial Lawyers is seeking a detail-oriented and highly organized Post-Retention Intake Specialist to support the transition of newly retained clients into the firm. This role is responsible for gathering and verifying client and case information, completing required documentation, maintaining accurate records in Filevine, and ensuring each matter is properly prepared for handoff to the appropriate legal team.

Responsibilities

• Communicate with newly retained clients to gather and verify case information
• Collect required documentation, records, and supporting information
• Accurately enter and maintain client and case information in Filevine
• Review new matters for completeness and follow up on missing information
• Maintain detailed and accurate notes regarding client communications
• Ensure required forms and documentation are completed and properly organized
• Coordinate the transition of new matters to the appropriate case management or legal team
• Provide clients with a professional, responsive, and empathetic experience
• Follow established firm procedures, workflows, and intake protocols
• Manage a high volume of matters while maintaining accuracy and attention to detail

Requirements

• Bilingual fluency in English and Spanish required
• Previous experience in legal intake, post-retention intake, case management, client relations, or a similar legal support role
• Personal injury or law firm experience highly preferred
• Strong data-entry, documentation, and organizational skills
• Excellent verbal communication and client service skills
• Ability to manage multiple matters and follow-ups in a fast-paced environment
• Strong attention to detail and ability to identify missing or incomplete information
• Filevine or other legal case management software experience preferred
• Professional, dependable, and comfortable handling confidential client information
