Job summary

West Coast Trial Lawyers is seeking a detail-oriented Post-Retention Intake Specialist to support the transition of newly retained clients into the firm. This role gathers and verifies client and case information, completes required documentation, and maintains accurate records in Filevine for handoff to the legal team.

You will manage a high volume of matters with precision, communicate in English and Spanish, and follow established intake protocols while protecting confidential client

Qualifications

• Bilingual fluency in English and Spanish required.
• Previous legal intake or post-retention intake experience preferred.
• Strong data-entry, documentation, and organizational skills.
• Excellent verbal communication and client service abilities.
• Ability to manage multiple matters in a fast-paced environment.
• Professional handling of confidential client information.

Responsibilities

• Communicate with newly retained clients to gather and verify case information.
• Collect required documentation, records, and supporting information.
• Enter and maintain client and case information in Filevine accurately.
• Review new matters for completeness and follow up on missing information.
• Maintain detailed notes on client communications.
• Ensure forms and documentation are completed and organized.
• Coordinate transition of new matters to the proper legal team.
• Provide clients with a professional, empathetic experience.
• Follow firm intake procedures and workflows.
• Handle a high volume of matters with precision.
