Job Summary:

The Portfolio Manager supports the President & CEO and Executive Director in engaging IHS’s highest-capacity donors and prospects. Reporting to the Senior Executive Assistant, this role coordinates personalized outreach, manages donor communications, monitors philanthropic activity, and ensures effective moves management across executive-tier relationships. This individual regularly exercises discretion, intellectual curiosity, and strong organizational awareness to deliver seamless, timely, and tailored engagement – grounded in a clear understanding of development strategy and best practices.

Duties/Responsibilities:

  • Maintain detailed calendars and communication records for high-level donor interactions on behalf of the President & CEO and Executive Director.
  • Draft and coordinate briefings, talking points, and follow-up messages for donor meetings and executive outreach.
    • Monitor donor activity (e.g., blogs, media, social media) and flag updates that inform timely, relevant engagement.
  • Craft and coordinate donor messaging in collaboration with Development, Communications & Marketing, and executive leadership to ensure clarity, alignment, and tone.
  • Track donor engagement and progress toward goals using Salesforce and internal dashboards; identify and escalate gaps in stewardship.
  • Maintain accurate CRM records for executive-tier donors, including contact history, notes, and profiles.
  • Partner with Development staff (Prospecting, Major Gifts, Foundations) to coordinate relationship handoffs and ensure continuity.
  • Collaborate with Events staff to support donor engagement before and after IHS events, flagging key attendees, reviewing guest lists, and identifying follow-up opportunities.
  • Serve as a central liaison between the Senior Executive Assistant, Development, and leadership teams to align communication and donor strategies.
  • Provide backup logistical or travel support only as needed in coordination with the administrative team.

Required Skills/Qualifications:

  • 4+ years of experience in executive support, development, or donor relations roles.
  • Excellent writing skills, with the ability to craft clear, compelling, and voice-aligned correspondence.
  • High attention to detail and a proven ability to manage complex, sensitive information with accuracy and discretion.
  • Exceptional organizational skills combined with strong initiative and a proactive mindset to ensure deadlines are consistently met with focus and efficiency.
  • Proficiency with CRM systems (Salesforce preferred) and experience managing donor records and reporting.
  • Strong collaboration and relationship management skills across internal teams and senior leaders.
  • Clear understanding of and appreciation for the classical liberal tradition is highly preferred.
