Job summary

Murphy USA is seeking a Portfolio Coordinator to support the Enterprise Portfolio Management Office by maintaining project status tracking, coordinating intake and routing, and helping the organization meet governance expectations.

The role assists project owners by creating visibility, standardizing status updates and driving follow-up across the portfolio, using Smartsheet or similar tools and collaborating with IT, FP&A and business partners.

Qualifications

  • Bachelor’s degree in business or related field preferred.
  • 1–4 years of experience supporting projects or PMO functions.
  • Experience with Smartsheet, MS Project or similar tools preferred; strong Excel skills.

Job description

The Portfolio Coordinator supports the Enterprise Portfolio Management Office by administering core portfolio processes, maintaining project status tracking, coordinating intake and routing, and helping the organization meet governance expectations. The role supports project owners by creating visibility, standardizing status updates and driving follow-up across the portfolio.

Responsibilities
  • Maintain enterprise project and initiative tracking in Smartsheet or the selected portfolio management system.
  • Coordinate monthly and quarterly status collection from project owners, business sponsors and supporting functions.
  • Track key milestones, open actions, risks, issues and escalation items across the portfolio.
  • Administer intake workflows and help route initiatives to Capital Committee, IT, Procurement, Advanced Technology, Field Readiness, FP&A or departmental queues as needed.
  • Prepare portfolio status summaries, governance materials and meeting follow-ups for EPMO and Capital Committee forums.
Key Traits and Capabilities
  • Highly organized with strong attention to detail and follow-through.
  • High motor: comfortable pushing for updates and keeping momentum across multiple workstreams.
  • Willing to get into the weeds, validate status details and ask clarifying questions.
  • Strong communication skills and comfort working across levels and functions.
  • Practical understanding of project management concepts, milestones, risks, dependencies and status reporting.
Key Traits & Capabilities
  • Bachelor’s degree in business, management, finance, operations, information systems or related preferred.
  • 1–4 years of experience supporting projects, programs, operations, reporting, business administration or PMO functions preferred.
  • Experience with Smartsheet, Microsoft Project, Excel, Power BI, Jira or similar tools is helpful but not required.
  • Strong Excel skills and willingness to learn portfolio tools, reporting templates and workflow processes.
  • Ability to manage multiple priorities, deadlines and stakeholder requests in a fast-moving environment.

  • Enterprise project tracking is consistently maintained and trusted by leadership.
  • Project owners submit complete and timely status updates through a repeatable process.
  • Governance meetings have clearer materials, cleaner follow-ups and better visibility into risks and escalations.
  • Intake routing becomes easier for business teams and more consistent for supporting functions.
  • EPMO reporting shifts from manual one-off collection to a repeatable operating rhythm.
