Job summary

The City of High Point Police Department is seeking a Police Records Support I to maintain the records filing system and assist the public and other departments with information. The role supports officers and handles inquiries, while performing basic clerical tasks and data entry.

Qualified candidates will have a High School Diploma and proficiency with Microsoft Office, plus a valid North Carolina driver’s license.

What You’ll Do:

The Police Records Support I maintains the records filing system and/or database used to manage, access, and preserve electronic and paper records of criminal justice activities. This position also assists in providing clear and accurate information to the public and other departments. Staff in this position may also perform other clerical duties, assisting officers with information and answering the telephone.

Essential Tasks & Responsibilities:
  • Review and type various reports;
  • Conducts quality assurance reviews of all reports created;
  • Answers in-coming telephone calls, routes to appropriate persons or personally responds to inquiries or takes messages;
  • Greets and responds to various inquiries from members of the general public;
  • Reviews daily work output of officers for quality and accuracy of coding and data entry;
  • Submits all state and federal reporting of crime statistics;
  • Conducts necessary courier duties to and from the court and city hall;
  • Calls complainants to validate NCIC entries for stolen property and missing persons per NCIC regulations;
  • Completes basic accounting reports as it relates to statistics;
  • Operates standard office equipment including computer and related software, copier and fax machine;
  • Interprets and applies policies, regulations and procedures;
  • Perform other duties as assigned;
Qualifications:

Physical Requirements

Hearing/Speaking - Expressing and/or receiving information by means of the spoken word is both necessary to converse with internal and external customers, including co-workers, citizens, and applicants.

Visual Abilities

– the ability to perceive via eyesight is required for this position:

  • Acuity, far – clarity of vision at 20 feet or more. Both eyes 20/22 - R 20/25 - L 20/25 corrected. Acuity, near – clarity of vision at 20 inches or less.Both eyes 20/25 corrected.
  • Depth perception –Three-dimensional vision. Ability to judge distance and space relationships so as to see objects where and as they actually are. Depth Perception - 4
  • Field of Vision – the area that can be seen up and down or to the right or left while eyes are focused on one point. Must be able to see a wide span of area.
  • Accommodation –Adjustment of lens of eye to bring an object into sharp focus. This item is especially important when doing near-point work at varying distances from eye.
  • Color Vision - Ability to identify and distinguish colors.

All five aspects are judged to be important in carrying out the essential functions of this job.

    • This is a clerical support position which requires contact with other City personnel and the public, so it is necessary for the employee to be able to communicate with people in person and by telephone

  • Write: Ability to write memos and figures, take messages and make various reports.
  • Speak: Ability to be conversant in voice and diction so as to participate in discussions with supervisor, other employees, and the general public in person, and by telephone and convey vital information to officers over the radio.

Physical Surroundings

The Police Records Support I role issubject to Inside Environmental Conditions: Protection from weather conditions but not necessarily from temperature changes. Work is confined to one room with no outside windows.
