Play for P.I.N.K. is a grassroots nonprofit dedicated to breast cancer research funding through events and donations. The Associate, Fundraising Operations reports to the Managing Director and handles financial reporting, donor data, and event fundraising administration from our New York base.

Based onsite in New York, NY, this role collaborates with the events team, accountant/treasurer, and CRM staff to ensure accurate revenue tracking and timely reporting for annual fundraising events.

Qualifications

Responsibilities

  • Confirm daily deposits with club treasurers or chairs for events.
  • Label daily deposits in online banking and credit payments.
  • Process credit card transactions as needed.
  • Deposit funds and manage wires and donor payments.
  • Coordinate with bookkeeper to process invoices via BillPay.
  • Process refunds and reimbursements when required.
  • Review QuickBooks daily to match donations to events.
  • Review event wrap-up and reporting; ensure gifts are recorded in CRM.
  • Serve as Donor Advised Funds (DAF) liaison and respond to inquiries.
  • Support annual audit preparations and documentation.

Play for P.I.N.K. (Prevention, Immediate Diagnosis, New Technology, Knowledge) is a grassroots organization dedicated to raising funds to fight breast cancer through sporting and lifestyle events. Our commitment is to contribute 100% of all net proceeds raised to our sole beneficiary, the Breast Cancer Research Foundation (BCRF), to fund the world’s top researchers.

Play for P.I.N.K. supports volunteers organizing sporting and lifestyle events to benefit the Breast Cancer Research Foundation and has raised $92 million to bring about breakthroughs in detection, treatment, prevention and survivorship since its inception.

ABOUT THE BREAST CANCER RESEARCH FOUNDATATION (BCRF)

Breast cancer is a complex disease with no simple solution. Research is the key to stopping it in its tracks. Founded in 1993 by Evelyn H. Lauder, the Breast Cancer Research Foundation is the largest private funder of breast cancer research in the world. By investing in the best minds in science to examine every aspect of the disease from prevention to metastasis and fostering cross-disciplinary collaboration BCRF is accelerating the entire field and moves us closer to the answers we urgently need to be the end of breast cancer.

ABOUT THE ROLE

Reporting to the Managing Director, Play for P.I.N.K., the Associate, Fundraising Operations serves a critical role in the financial reporting and data management of Play for P.I.N.K.’s strategic plan. They are an integral part of Play for P.I.N.K.’s fundraising program and partner events.

This role serves as the point person for the appointed \"Treasurer\" of each event, trackingall revenue from all annual independent events, managing and entering all event / donor data into organizations CRM system.

TheAssociate, Fundraising Operations will have the opportunity to experience first‑hand the full operations of a nonprofit organization, with a focus on fundraising and managing donations received from annual events. This position works closely with the events lead, associate manager, Accountant/Treasurer.

This position is based in New York, New York. BCRF currently requires staff to work onsite a minimum of three days per week.

Primary Responsibilities
Banking and Accounting
  • Confirm daily deposits with each club treasurer and/or chairperson for events
  • Label daily deposits in online bank account to credit appropriate club
  • Process credit cards as needed
  • Deposit all funds (checks) and manage wires, DAF’s and any payments
  • Communicate with bookkeeper to process invoices via BillPay
  • Process refunds and reimbursements
Financial Operations:
  • Review QuickBooks platform daily to accurately match donations to events
  • Review financial wrap-up process and reporting for each event
  • Ensure matching gifts are appropriately recorded in CRM system
  • Point person for Donor Advised Funds (DAF) inquiries and transactions
  • Manage and track any monies received through all third-party platforms and monitor outstanding monies from clubs/events that have not deposited donations in a timely manner
  • Support and compile yearly audit documents and requirements
Tax Letters:
  • Create reports by manually combining data from QBO, RE, and event spreadsheets to process tax letters and acknowledgments
  • Process gift-in-kind tax letters via Mailchimp platform and distribute to all event affiliated chairpersons
Other duties
  • Manage all Play for P.I.N.K. phone and email inquiries
  • Ensure event chairpersons have adequate resources to process all donations
  • Manage tribute donations and send weekly tribute letters when applicable
  • Replenish deposit slips, endorsement stamps, letterhead, envelopes as needed
  • Other duties as assigned

You are a highly organized, detail-oriented professional who thrives in a fast-paced, mission-driven environment. You have experience supporting fundraising operations and understand the importance of maintaining accurate donor data, streamlining processes, and ensuring operational excellence. You are comfortable working with CRM databases, managing multiple priorities, and collaborating across teams to support fundraising initiatives. In addition, you have the following qualifications and experience:

  • Bachelor’s degree
  • Minimum of 2-3 years’ experience working in a financial, operations or administrative role supporting a non-profit organization
  • Experience working within a non-profit environment preferred
  • Skilled in Word, Excel, PowerPoint, and Adobe Acrobat Suite
  • Experience with QuickBooks is a must
  • Experience using Raiser’s Edge a plus
  • Excellent organizational skills, decision-making abilities, and attention to detail
  • Ability to multi-task, manage, and prioritize multiple requests and deadlines
  • Strong project management skills, with a focus on interdepartmental collaboration
  • Enthusiasm for working as part of a team while working independently with limited supervision

Compensation and Benefits:

This is a full-time non-exempt role. The hourly rate for this role is $28.00 – 30.00 an hour. Our compensation packages include an exceptional benefits package focusing on employe physical, mental and financial wellness. More specifically we offer

  • Medical, dental and vision coverage from the first day of employment; with the election of certain medical plans, BCRF helps significantly defray the cost of out-of-pocket expenses with contributions to a health reimbursement account or heath savings account.
  • The opportunity to enroll in pre-tax Commuter Transit, Flexible Spending Account or Health Savings Account and Dependent Care Account from the first day of employment.
  • 401K, with up to a 5% match each pay period; employee contributions and any match are immediately fully vested
  • Paid parental leave offering 18 weeks 100% paid leave for a birthing parent and 12 weeks 100% paid leave for non-birthing parent
  • Paid Time Off including
    • 15 days of annual vacation time in first year of employment, increasing with length of service
    • 7 days of annual paid sick time
    • Paid holidays along with BCRF wide half days and summer Fridays
