Job summary

Public Agency Retirement Services (PARS) is seeking a Plan Support Administrator to deliver exceptional client service to plan participants. You will conduct orientations, assist with enrollments and withdrawals, and coordinate with trustees and annuity providers to ensure smooth distributions.

Qualifications

  • 1–3 years of customer service experience, preferably in a high-volume call center.

Job Summary

The Plan Support Administrator is instrumental in carrying out the core responsibilities of the Plan Support Department. This individual will be responsible for providing outstanding customer service to plan participants, conducting orientations, facilitating workshops, processing participant separations and withdrawals, managing early retirement incentive plan enrollments, and collaborating with plan trustees and annuity providers to ensure seamless distribution processes. This individual will travel to client sites and present plan information to potential participants, address questions that arise, and assist with enrollment as needed.

Duties and Responsibilities
Client Support (80%)
  • Assist clients and plan participants with plan support needs;
  • Monitor the support contact line, answering an average of 30-40 calls per day, and provide exceptional service to clients and plan participants;
  • Manage multiple inquiries simultaneously and craft communications to clients and plan participants across various channels (telephone, email, fax, mail, etc.);
  • Develop and maintain relationships with clients, trustees, annuity representatives, and plan participants and act as their primary resource for items related to their retirement plans; and
  • Effectively coordinate with clients, partners and internal departments via phone and email to address all product issues and provide necessary research, problem solving, and support, seeing complex problems through to resolution.
Plan Administration and Enrollment (20%)
  • Proactively process enrollment and distribution requests for all plans administered under the Department upon receipt while meticulously maintaining and updating database records;
  • Verify client and participant documentation for accuracy and completeness, resolving discrepancies as needed to ensure compliance;
  • Travel to agency sites to present informational orientations for potential plan participants and attend enrollment workshops, as needed based on the volume of new business;
  • Represent the company to diverse audiences and effectively address questions and provide support to potential plan participants; and
  • Perform other duties and special projects as assigned.

Qualifications/Requirements
Required
  • One (1) to three (3) years of experience in customer service required, preferably supporting a high-volume call center.
Preferred
  • Bachelor's degree or an equivalent combination of education and/or work experience;
  • Experience in a financial setting; and
  • CA Life Insurance License, CA Annuity Training, CEBS.
Skills
  • Proficient with MS Office, including Word, Excel, Outlook, PowerPoint, and SharePoint;
  • Working knowledge of all standard office equipment;
  • Confident speaking in front of and presenting to large groups of people;
  • Ability to effectively deliver presentations and engage with diverse audiences;
  • Ability to compose/proof original correspondence including letters, email, etc.;
  • Ability to work independently and efficiently manage tasks and time;

Work Environment and Physical Demands
  • Ability to travel to various locations;
  • Ability to travel via car or plane for sometimes long and continuous periods of time;
  • Ability to travel to client sites to represent the company in orientations and workshops;
  • Sitting at a desk for sometimes long and continuous periods of time;
  • Answering or making calls on the telephone for sometimes long and continuous periods of time;
  • Using a keyboard to perform research, and to communicate through written means for sometimes long and continuous periods of time;
  • Looking at a computer monitor for sometimes long and continuous periods of time;
  • Occasionally standing, walking, reaching, and stooping;
  • Lifting up to 40 lbs.; and
  • Exposure to moderate noise level.

Hourly Rate: $35
