Job description

About Us

At The Pharmacy Hub, we collaborate with pharmaceutical brands, manufacturers, health brands, telemedicine providers, and healthcare companies to deliver essential products directly to patients. Our expertise allows us to seamlessly distribute pharmaceuticals, medical devices, and other healthcare products to consumers, ensuring greater accessibility and convenience.

Position Summary

The Pharmacy Hub is looking for an exceptional, high‑potential healthcare operator who wants to grow into a major leadership role as the company scales. This is not a traditional pharmacy operations job and not a traditional sales management job. We are looking for someone who understands the pharmacy business, is intellectually curious, highly analytical, commercially minded, and capable of learning every part of the organization.

This position will lead front‑end operations end to end — spanning sales, technical, finance, client onboarding, account management, and all pre‑PV1 workflows (everything from intake and order entry through the point of pharmacist verification) — and will build and implement automation solutions, leveraging a healthcare or pharmacy background, to help us scale efficiently and improve the entire client journey from signed contract through launch, fulfillment, retention, and expansion.

As TPH continues to grow, this individual will help professionalize the front‑end organization — replacing ad hoc workflows with documented, automated, accountable processes — and will become a trusted operational partner to executive leadership as responsibilities expand.

Reporting Structure

This position reports directly to CEO. Team structure is expected to evolve, with responsibility for Sales, Onboarding, Account Management, the technical team’s TPH stack, and the Pre‑PV1 team.

We want someone early enough in their career to still be hungry and highly coachable, but accomplished enough to demonstrate an unmistakable pattern of rapid advancement and increasing responsibility.

Core Responsibilities
Front‑End Operations & Pre‑PV1 Workflows
  • Lead front‑end operations, including all pre‑PV1 workflows: patient/order intake, data entry, order processing, and everything upstream of pharmacist verification
  • Work directly with pharmacy operations to ensure new programs can be executed successfully at scale
Sales, Onboarding & Client Lifecycle
  • Lead and professionalize the sales, account management, and client onboarding functions
  • Own the transition from signed customer → implementation → pharmacy launch → ongoing account performance
Automation & Process Improvement
  • Build and put automation solutions in place across front‑end operations, drawing on healthcare/pharmacy domain expertise — replacing manual work with scalable systems and processes
  • Identify manual, error‑prone, or undocumented workflows across sales, onboarding, pharmacy operations, technical, finance, and client service, and personally drive solutions
  • Establish accountability, KPIs, dashboards, workflows, and operating processes
Cross‑Functional Coordination & Analytics
  • Analyze client performance, volume, profitability, retention, implementation timelines, and operational performance
  • Improve coordination between Sales, Account Management, Onboarding, IT, Pharmacy Operations, Finance, and leadership
People Leadership & Executive Partnership
  • Manage and develop people while identifying where the organization needs stronger talent
  • Become a trusted operational partner to executive leadership and take on progressively larger responsibilities as the company grows
How Success Is Measured

Success in this role is measured across five ownership areas — Sales, Onboarding, Account Management, Pre‑PV1 & Customer Support, and Technology — each tracked against concrete, numbers‑in‑hand KPIs and reviewed on a fixed cadence with executive leadership.

Leading indicators include:

  • Sales: pipeline coverage and conversion by stage, average deal size, sales cycle length, and revenue vs. target, run on a weekly review cadence
  • Onboarding: time‑to‑launch per client and manual touches per onboarding, with a target of at least 25% fewer manual touches as automation is implemented
  • Account management: 100% of accounts assigned a named owner, defined performance metrics per account manager, a regular account review (QBR) cadence, and an active retention/at‑risk reporting process
  • Pre‑PV1 & customer support: every case reaching these teams coded to a root cause, with a target of at least 20% reduction in case volume as onboarding fixes and support automation take hold
  • Technology: an agreed improvement/automation roadmap with an owner and deadline on every item, targeting at least 80% on‑time delivery against committed roadmap items

The first 90 days follow a structured plan: the first 30 days are spent baselining and diagnosing all five areas with data before proposing fixes; days 31–60 install the management systems (dashboards, cadences, owners) and deliver the first measured improvements; days 61–90 convert that ownership into durable, quantified results. Formal reviews are held at each 30‑day milestone, in addition to a standing weekly check‑in.

What Success Looks Like Over Time

Beyond the near‑term operational milestones above, over the longer term this role is expected to:

  • Build a front‑end organization that can support The Pharmacy Hub's continued growth and increasing client complexity
  • Replace manual, ad hoc processes with scalable, automated systems across sales, onboarding, and pre‑PV1 operations
  • Establish a best‑in‑class client journey from signed contract through launch, fulfillment, retention, and expansion
  • Develop future operational leaders and create depth within the front‑end organization
  • Become a trusted business partner to executive leadership, taking on progressively larger responsibility
Qualifications
  • Approximately 4–9 years of total professional experience
  • Meaningful experience within a specialty, mail‑order, compounding, digital, infusion, 340B, PBM, pharmacy‑services, or other sophisticated pharmacy organization
  • Experience beyond dispensing or traditional retail pharmacy operations
  • Demonstrated advancement significantly faster than peers, with a track record of taking on responsibility outside the original job description
  • Exposure to pharmacy management, implementation, strategic accounts, customer success, business operations, analytics, supply chain, project management, finance, or process improvement
  • Strong analytical capability and comfort working with data
  • The ability to understand technology and systems — not necessarily as an engineer, but as a sophisticated business user who can specify and drive automation
  • Excellent communication skills across clients, employees, executives, pharmacists, and technical teams
  • Strong leadership potential even without a large leadership title yet
  • A bachelor's degree at minimum; MBA, MHA, MS, or another strong graduate degree preferred (business, healthcare administration, operations, analytics, finance, supply chain, information systems, or related)
