To service customers via inbound and outbound calls, including new customers on products and services, handling new patient enrollment and repeat order opportunities in a courteous, professional manner. Responsible for processing referrals from HCPs and other referral sources into the CM database for order confirmations and shipment. Responsible for interacting with medical facilities and providers to collect medical record documentation; managing medical files, scanning into customer accounts, verifying patients' insurance benefits, and documenting accounts accordingly.
Major Areas of Accountability
- Process leads from external departments to complete the necessary documentation within the CM database
- Complete inbound and outbound telephone calls in response to referral/customer inquiries as documented
- Organize and update customer records by reviewing and validating relevant information and loading it into the database
- Timely verification of medical insurance benefits for new and existing patients, existing customers with changes, and reactivated patients
- Note in each account a brief and clear summary of insurance information received from the carrier
- Review each medical record for missing documentation; check physician notes for appropriate diagnosis to justify Comfort Medical's service; verify that the correct person has signed all paperwork
- Ensure correction of deficient documentation and required signatures are received and filed within the required period
- Ensure accuracy of components within the files and scan into the system when applicable
- Research and resolve order issues, communicating with HCPs and insurance, and inform relevant stakeholders of outcomes
- Complete and/or update all pertinent records in the company database using Corporate Compliance Guidelines
- Maintain effective knowledge of policies, procedures, and skills required to complete job duties
- Exceed Quality and Quantity Performance Standards
- Set a positive example for co‑workers by observing and adhering to all departmental and corporate policies and procedures
- Establish and maintain effective working relationships with customers and coworkers
- Demonstrate skilled typing ability and knowledge of PCs, hardware, software (e.g., Microsoft Office Suite), and related applications and systems
- Support the department's leadership team in achieving departmental goals by completing tasks and participating in continued training
- Be available and flexible in scheduling to meet changing business requirements
- Follow good housekeeping and quality procedures
- Observe all safety practices
- Ongoing performance evaluations may result in occasional overtime for high performers or employees with demonstrated productivity leadership
- Adhere to the highest ethical and professional standards, complying with applicable laws, the Advamed Code of Ethics, and company policies
- Other job duties as assigned
Basic Qualifications
- High school diploma or equivalent
- Experience with durable medical equipment (DME)
- Minimum of one year experience in a contact center
- Willingness to engage in telephone direct sales
- Ability to take initiative and work independently
- Compliance with the company's ethical and professional standards per the Advamed Code of Ethics and company policies

- English/Spanish bilingual preferred
- Ability to interpret instructions and guidelines to make decisions and take necessary actions
