Job summary

Ascentec Engineering, LLC is seeking a People Operations Coordinator to support the People & Culture team with onboarding, data management, and HR reporting. This on-site role requires travel to our Dallas, Oregon facility 2-3 days per week and stabilizes employee experiences across the lifecycle.

You will manage onboarding tasks in Paylocity, coordinate IT access, handle HR tickets, and contribute to offboarding and compliance processes while maintaining confidentiality and accuracy.

Qualifications

  • Requires an Associate's or Bachelor's degree in HR/Business Administration or related field.
  • PHR certificate is a plus.
  • 1-3 years HR or administrative experience.

Responsibilities

  • Coordinate weekly new-hire orientation to deliver a consistent onboarding experience.
  • Manage onboarding tasks after offer, including I-9 verification and E-Verify in Paylocity.
  • Coordinate with IT to prepare equipment, workstation, and system access.
  • Submit employee actions in Paylocity (hires, terminations, transfers, status changes).
  • Respond to HR tickets and route to appropriate team members.
  • Oversee offboarding, ensure documentation and compliance.
  • Conduct exit interviews and record rehire eligibility.
  • Handle employment verification requests.
  • Maintain confidential employee records across HR systems.
  • Maintain current job descriptions and update as needed.
  • Provide administrative and reporting support to HR (metrics, logs).
  • Support engagement, compliance training, and policy initiatives.
  • Assist with planning company events and logistics.
  • Move paper records toward digital/scan and organize documents.

Description

Ascentec Engineering is hiring a People Operations Coordinator who will support the People & Culture team by assisting with daily people operations activities and ensuring efficient processes, data accuracy, and positive employee experiences throughout the employee's lifecycle. Key areas include onboarding coordination, employee data management, HR reporting, offboarding, events planning, and general HR support.

This position is on-site (not remote/not hybrid) at our Tualatin and Dallas, Oregon locations. The Coordinator will be expected to travel to our Dallas location 2-3 days a week. This position is not eligible for visa sponsorship or transfer of visa sponsorship.

Requirements
Core Responsibilities
  • Support the coordination and facilitation of weekly new-hire orientation as needed to deliver a consistent and engaging onboarding experience.
  • Manage onboarding tasks after offer acceptance, coordinating I-9 verification and E-Verify, and assigning and completing all onboarding paperwork in Paylocity.
  • Coordinate with IT to ensure new-hire equipment, workstation, and system access are prepared before start dates.
  • Submit employee actions in Paylocity, including hires, terminations, transfers, and status changes, ensuring data accuracy and timely entry.
  • Manage the HR ticketing system by responding to employee questions and concerns within the role's scope and assigning tickets to appropriate HR team members.
  • Ensure the employee offboarding process is completed, including completed documentation, updated systems, and adherence to compliance requirements.
  • Conduct exit interviewsto departing employees, document reasons for separation, and ensures rehire eligibility status is clearly recorded.
  • Respond to employment verification requests.
  • Maintain accurate and confidential employee records and ensure data integrity across all HR systems.
  • Maintain a library of current job descriptions for all positions, updating them as titles or responsibilities change.
  • Provides administrative and reporting support to the HR team, including metrics, correspondence, and tracking logs.
  • Support HR initiatives such as engagement programs, compliance training, and policy implementation.
  • Assist with planning and coordinating company events or meetings, including researching vendors, obtaining quotes, coordinating supplies and logistics, supporting setup and cleanup, and communicating event details company-wide.
  • Support the HR department's transition to paperless recordkeeping by scanning, uploading, and organizing paper personnel records and other HR documents, ensuring accuracy, confidentiality, and easy retrieval.
  • Assist with travel arrangements for employees as needed.

Minimum Requirements Education/Certifications
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related field.
  • PHR certificate is a plus
Experience
  • 1-3 years of HR or administrative experience.
  • Experience with Paylocity preferred.
  • Familiarity with employment compliance practices is a plus.

  • Valid driver's license and access to reliable transportation.
Work Environment and Working Conditions
  • Primarily works in an office within a manufacturing facility, with periodic access to production areas.
  • Works on-site in Tualatin, Oregon, with travel to the Dallas, Oregon facility 2-3 days per week as needed.
  • Works with frequent interruptions, competing priorities, and regular interaction with employees, managers, and vendors.
  • Handles confidential employee information and sensitive matters requiring discretion and professionalism.
  • Uses computers, scanners, and other office equipment regularly to maintain records and support daily HR operations.
  • May encounter machinery noise and other manufacturing conditions when entering production areas; follow all applicable safety procedures and personal protective equipment requirements.
Mental/Physical Demands
  • Prolonged sitting and computer use.
  • Ability to navigate stairs and move through office and production areas.
  • Must be able to lift up to 25 pounds.
