Job summary

NFM Lending Inc. is seeking a P&C Administrative Coordinator to support compliance, employee engagement, and HR operations.

This role ensures employees receive accurate, timely support and assists with audits, personnel file management, and recognition programs while maintaining strict confidentiality. The position requires an Associate’s degree in HR, communications, psychology or related field, at least two years in HR admin or clerical work, and proficiency in MS Office and HRIS.

Qualifications

  • Associate’s degree in human resources, communications, psychology or related field.
  • Minimum two years’ experience in human resources administration or clerical role.
  • Experience HR compliance is a plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and HRIS.
  • Strong problem-solving skills, attention to detail, and ability to multitask.
  • Excellent communication skills: listening, written and verbal.
  • Exceptional organization skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

Responsibilities

  • HR Compliance Support: assist in preparing and processing PAFs for status changes, title updates, compensation adjustments, and terminations.
  • Conduct audits for onboarding including OCP signature and background checks.
  • Maintain employee records, update job descriptions, archive files and process terminations.
  • Ensure compliance training and certifications are completed and tracked.
  • Track federal/state posting requirements and labor/worker’s comp notices annually.
  • Support HR policy updates by formatting and distributing revised documents.
  • Employee Engagement & Events: coordinate company-wide appreciation events and contests.
  • Administrative & HR Operations Support: assist Chief People & Culture Officer and manage SharePoint pages.
  • Project Coordination & Data Management: track milestones, assist with audits, data entry and reconciliation.
  • Gather survey responses and analyze feedback to improve P&C programs.

Exceptional organization skills.Ability to maintain confidentiality and handle sensitive information appropriately.Essential Job Functions include, but are not limited to:HR Compliance SupportAssist in preparing and processing Personnel Action Forms (PAFs) for status changes, title updates, compensation adjustments, and terminations ensuring accurate and timely processing.Conduct OCP signature audits, checklist audits, and background checks for onboarding.Maintain employee records by updating job descriptions, archiving files, and processing terminations.Ensure compliance training and required certifications are completed and tracked.Annual tracking and distribution of federal and state posting requirements of labor and worker’s compensation legal notices.Support HR policy updates by formatting and distributing revised documents.Employee Engagement & EventsPartner with Total Rewards Administrative Coordinate and P&C Team on company-wide appreciation events, including Employee Appreciation Day, Ice Cream Day, Breast Cancer Awareness, Halloween, Ugly Sweater Contest, and Annual Awards.Manage monthly and quarterly department contests, overseeing the voting process and reviewing submissions.Oversee milestone anniversary awards.Administrative & HR Operations SupportServes as administrative support for Chief People & Culture Officer.Manage P&C SharePoint pages, updating internal content.Order and stock weekly office snacks and office supplies.Provide administrative support for projects, including a PAF revamp and other initiatives.Project Coordination & Data ManagementTrack project milestones and maintain project documentation for HR initiatives.Assist with data entry and reconciliation for audits, including payroll, benefits and compliance.Gather and analyze survey responses and employee feedback to improve P&C programs.Prepare reports and summaries using Excel, PowerBI and project management tools.Additional duties assignments as assigned and required.The above statements are intended to describe the general nature and level of work being performed by people assigned to this job.
