A+I, an award-winning strategy-led architecture and design agency, is looking for an awesome People/Culture & Admin Coordinator. She/he/they will be responsible for the effective execution of the people- and finance-related administrative tasks and functions, including but not limited to: employee onboarding, employee performance reviews, benefits administration, HRIS management, internal event coordination, website and social media upkeep, accounts payable/receivable, client invoicing, employee time and expense management, and support of overall employee experience.

Responsibilities

  • Manage pre-hire to hire logistics - Assist Director of People with overall employee onboarding experience including new hire communications, data entry, account and software setup, and visa & work permit authorization
  • Support Director of People and Studio Directors in our performance review process
  • HRIS management - Generate census reports, perform general data entry, liaise with PEO support team
  • Employee benefits support including PTO tracking, health insurance renewals, parental leave documentation, retirement/401k administration, staff communications
  • Coordinate studio-wide and office-wide events including scheduling, vendor management & payment, etc.
  • Assist with social media and website upkeep
  • General HR functions including employment verifications, letters of employment, etc.
  • Manage staff-related and project-related insurance requirements including Workers Compensation and Professional Liability Special projects as needed
  • Support Director of Finance with Accounts Payable input/payment and Accounts Receivable upkeep
  • Process monthly credit card reconciliation for company owners
  • Participate in monthly billing review and process select client invoices
  • Manage employee time- and expense- sheet submittals
  • In general, be an enthusiastic participant in and supporter of all cultural goings-on that help to make our office an interesting and fun place to work

Qualifications

Candidate must be detail-oriented, thorough, and comfortable multi-tasking. Excellent written and verbal communication skills are required. A high level of discretion is necessary as People & Admin Coordinator will support Director of People and Director of Finance with sensitive and confidential staff and company information.

  • College degree with 2+ years related work experience preferred
  • Strong knowledge of Microsoft Office, Adobe Acrobat, and Google Workspace
  • Interests in art, architecture, and design are highly preferred
