Job Summary:

The Pediatrics Residency Program Coordinators provide administrative management for the Department of Pediatrics Residency Program and its residents in training. The three-year Pediatrics Residency Program is designed to prepare physicians to practice the full scope of Pediatrics with a broad exposure of educational experiences to all major acute and chronic diseases of childhood, in a variety of practice settings, including Children's Hospital Colorado, University of Colorado Hospital, Denver Health and numerous offsite educational experiences.

To achieve our mission and the position-specific activities outlined here, our Residency Program knows that we need a team of unique individuals working in an environment in which we can bring our authentic whole selves. We work collaboratively with shared purpose, and we value the array of skills and experiences each of us brings to the team.

This position will be a hybrid working arrangement. Work will be done both on-site and from home/off-site settings.

Key Responsibilities:

  • Data collection and management in a variety of platforms, including support accreditation, recruitment, licensing, scheduling, evaluation, and alumni tracking.
  • Coordinate resident education experiences such as non-clinical rotations, pathways/tracks, and electives.
  • Administrative Support for Program Director, Associate Program Directors, Chief Residents, and resident-led committees.
  • Coordinate In-Training Exam scheduling, intern introductory primary care physician (PCP) appointments, and intern introductory Mental Health appointments.
  • Coordinate and provide administrative support for DEI-focused initiatives
  • Event planning and management.
  • Coordinate financial processes and tracking, such as travel reimbursements, educational funds, and paying invoices.
  • Coordinate all aspects of the Program’s annual recruitment process.
  • Coordinate all onboarding processes and a multi-day orientation for incoming interns.

Work Location:

Hybrid – This role is eligible for a hybrid schedule with a minimum of two days per week on campus and as needed for in-person meetings.

Minimum Qualifications:

Entry Level:

  • A bachelor’s degree from an accredited college or university.

Intermediate Level:

  • A bachelor’s degree from an accredited college or university.
  • One (1) year of professional-level experience.

Senior Level:

  • A bachelor’s degree from an accredited college or university.
  • Two (2) years of successfully coordinating medical education or graduate medical education program(s) with multiple learners per program year and more than one program year (e.g., a 3-year program with four learners per year).

Substitution (All Levels): A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Conditions of Employment:

  • Must successfully pass a drug test through Children’s Hospital Colorado.
  • Must be willing and able to pass a national criminal background check.
  • Some positions may require testing if access to the Children’s Hospital or their systems is needed at any time during employment with the University. If drug testing is required, it will be listed in the job posting

Intermediate Level:

  • Experience in administrative support and/or office management in an academic healthcare setting.
  • Experience managing graduate medical education-related electronic recordkeeping systems and databases, e.g., ACGME, ERAS, NRMP, ABP, Amion, MedHub, etc.
  • Experience working with and interpreting Federal, State, University, and Hospital policies, rules, and regulations.

Senior Level:

  • Experience collecting, analyzing, aggregating, and managing data and related reports.
  • Experience setting up and coordinating conferences, events, and meetings.
  • Experience in administrative support and/or office management in an academic healthcare setting.

  • TAGME certification.
  • Leadership role(s) that contribute to the development or implementation of best practices in GME.

Knowledge, Skills, and Abilities:

  • Experience working on diverse teams and/or with diverse populations. Diversity in this context refers to a variety of lived experiences, perspectives, cultures, and/or interpersonal styles.
  • Assess, plan, and organize Residency needs and activities, establish work priorities, and provide follow-through to ensure successful completion of activities, both individually and in collaboration with others.
  • Take the initiative and perform a variety of complex assignments with considerable independent judgment and motivation.
  • Effectively use computer programs essential to the Residency, including the Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook), the Electronic Residency Application System (ERAS), OnCall (Amion), and MedHub. Software used will continue to change, so adaptability to new software and tools is essential.
  • Use independent judgment and discretion, decide on processes and procedures to be implemented, set priorities, be aware of and maintain relevant standards, and resolve problems.
  • Accurately apply regulatory requirements at the program level.
  • Communicate effectively with administrative personnel, physicians and other program personnel, trainees, prospective trainees, administrative staff, and other constituents in written and verbal communications and oral presentations. Use effective interpersonal skills to collaboratively work with residents and others in a fast-paced, high-volume environment.

Anticipated Pay Range:

The starting hiring range for this position has been established as:

  • Entry Level: $45,017 to $57,262
  • Intermediate Level: $48,989 to $62,314
  • Senior Level: $52,961 to $67,367

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
