Summary

The Front Desk Associate role offers an opportunity for the right candidate to utilize their professional and personal skills by engaging with families to provide a welcoming, first-class experience. This role requires organization, multitasking, and responsibility to carry out front desk functions and manage administrative tasks for the medical team, aligning with PM's mission, vision, values, and culture.

Part-time and full-time positions are available! Part-time roles are benefits eligible, totaling 24 hours per week. Must have weekend and Monday availability.

Description

To perform this job successfully and provide families with a first-class experience that is efficient and accurate, the individual must satisfactorily carry out each essential duty. The requirements listed below reflect the knowledge, skills, and abilities needed.

  • Greets families professionally in person and on the phone.
  • Answers patient/family questions and seeks clarification when needed.
  • Uses empathy and active listening in difficult interpersonal situations.
  • Supports patient care quality initiatives as directed.
  • Coordinates escalations and urgent issues for timely resolution.
  • Collaborates with site leadership to manage complex patient issues.
  • Employs PM Pediatric Care’s core values to help patients, families, and team members navigate systems.
  • Monitors and manages patient flow, including assisting with self-registration.
  • Stays current on workflows, responsibilities, and technology through education.
  • Registers patients, maintaining accurate records and ensuring HIPAA compliance.
  • Manages incoming documents, mail, and correspondence properly.
  • Maintains confidentiality and privacy of patient information.
  • Performs opening and closing duties, including organizing and sanitizing.
  • Executes other duties as assigned.
Qualifications
  • Team player capable of working independently in a fast-paced environment.
  • Intermediate skills in Microsoft Office Suite.
  • Flexibility in work schedules; may require travel to other sites.
  • Excellent customer service and telephone skills.
  • Strong communication skills, both verbal and written.
  • Professional, friendly demeanor.
  • Detail-oriented and quality-focused.
  • Ability to perform basic calculations.
  • Outstanding time management, organizational, and critical thinking skills.
  • Situational awareness and ability to react to urgent situations.
  • Healthcare experience and medical insurance knowledge preferred.
  • Ability to relate to children and families.
  • Comfort with shifting demands.
  • Proficiency with multiple computer systems.
  • Experience in front desk, concierge, customer service, or hospitality preferred.
  • High school diploma or GED required.
