Job summary

GI Associates is seeking a Pediatric Medical Assistant to support pediatric gastroenterology care. You will assist with patient intake, vital signs, and coordination of laboratory testing, imaging, and endoscopy procedures, while educating families about procedures and follow-up care.

You will collaborate with physicians, nurses, and staff to ensure smooth patient flow and excellent care in a fast-paced GI practice across southeast Wisconsin.

Qualifications

  • Graduate of an accredited Medical Assistant program or equivalent clinical experience.
  • Current Medical Assistant certification preferred (CMA, RMA, NCMA, CCMA, or equivalent).
  • Proficiency in EMR systems and Microsoft Office applications.

Responsibilities

  • Provide compassionate, patient-centered care to pediatric patients.
  • Perform intake including vital signs, medical history updates and medication reconciliation.
  • Coordinate testing, tests, procedures, scheduling, and follow-up care with providers.

The Pediatric Medical Assistant assists with patient intake, clinical procedures, coordination of diagnostic testing and treatment plans, patient education, and administrative functions to ensure efficient patient flow and positive patient outcomes. The Pediatric Medical Assistant serves as a liaison between patients, families, providers, and ancillary services while maintaining a compassionate, patient-centered approach to care.Essential Duties & ResponsibilitiesProvide compassionate patient centered care that meets individual needs with respect to safety and clear communication.Rooms pediatric patients and obtains accurate intake information, including vital signs, medical history updates, medication reconciliation, and chief complaints.Demonstrates understanding of pediatric gastroenterology anatomy, physiology, disease processes, diagnostic procedures, and treatment plans.Coordinates laboratory testing, imaging studies, endoscopy procedures, referrals, and ancillary appointments as directed by providers, ensuring compliance with insurance requirements and appropriate facility selection.Prepares and educates patients and families regarding scheduled procedures, diagnostic testing, treatment plans, and follow-up care using approved educational materials, videos, handouts, and preparation instructions.Communicates provider instructions, test results, and follow-up recommendations to patients and families as directed by the provider.Assists with obtaining and documenting demographic, clinical, insurance, and billing information necessary for patient care and practice operations.Maintains accurate, timely, and complete documentation within the electronic medical record (EMR).Utilizes practice management systems (PMS) and EMR systems appropriately and efficiently.Answers and responds to patient phone calls, portal messages, and other communications in a timely and professional manner, escalating clinical concerns to the appropriate provider or clinical staff.Assists with procedure scheduling, pre-certification requests, prior authorizations, and coordination of care as needed.Supports physician and provider schedules by facilitating patient flow and assisting with schedule adjustments as directed.Assists with gathering and organizing information related to hospital admissions, discharges, consultations, and follow-up care.Supports endoscopy and procedural workflow through preparation, documentation assistance, and coordination of follow-up appointments.Maintains a clean, organized, and safe clinical environment in accordance with infection control standards and organizational policies.Travels to clinic locations as needed.Maintains patient confidentiality in accordance with HIPAA regulations.Works collaboratively with physicians, advanced practice providers, nurses, administrative staff, and other healthcare team members to optimize patient care.Provides excellent customer service and support to patients, families, and colleagues.Contributes to a positive work environment by treating all patients, families, and coworkers with respect, professionalism, and dignity.All other duties as assigned.Minimum RequirementsHigh School diploma or equivalentGraduate of an accredited Medical Assistant program or equivalent clinical experienceCurrent Medical Assistant certification preferred (CMA, RMA, NCMA, CCMA, or equivalent)At least 1 year of experience in pediatricsPatient-care first approach with strong attention to detailAbility to problem-solve and communicate effectively with pediatric patients, family members, physicians, coworkers, and external healthcare partners.BLS certification – training available once hiredProficiency in electronic medical record (EMR) systems and Microsoft Office software applicationsPrevious gastroenterology experience preferredWillingness and ability to travel to other GI Associates locations as needed to support operational needsAbility to effectively prioritize tasks, manage multiple responsibilities, and work in a fast-paced clinical environmentDemonstrate commitment to patient-centered care and teamworkPhysical & Mental DemandsAble to sit, stand, walk, kneel, bend, reach and stoop throughout entire shift to accomplish tasksAble to push, pull, lift and/or move up to 25 lbs. frequently and up to 50 lbs. occasionallyAble to work through interruptions, managing multiple priorities in a fast-paced, dynamic environmentFrequently uses a computer for typing and EMR documentation; requires accurate and efficient data entry abilitiesFrequently uses the telephone to contact patients for appointment scheduling, follow-up care, test results, and other clinical communicationsE04JI80004vh409afvw
