Job description

Position Purpose and Scope

The Pedagogical Administrative Manager will:

  • Support the Faculty Director and Level Chairs in all levels of pedagogical administration (70%)
  • Collaborate with faculty and leadership to provide Reaccreditation support (5%)

Primary Roles & Responsibilities:

The Pedagogical Administrative Manager is an essential administrative role requiring direct collaboration with the Faculty Director and Management Team to support the pedagogical (teaching and programming) side of the school. The tasks and responsibilities are varied, but the primary function of the role is to support the faculty and Management Team administratively, under the supervision of the Faculty Director. The following is a more detailed breakdown of the roles and responsibilities.

Communication and Scheduling

  • Provide ongoing support for the Faculty Director in daily scheduling and communications
  • Keep teacher, classroom and room use schedules up to date in Grades 1-12 using assigned templates
  • Keep notes of Management Team meetings and distribute to Pedagogical Advisory Council
  • Post jobs, maintain recruitment email, schedule interviews as requested

Support for Extra Programming, Clubs and Classes

  • Maintain extra programming calendar
  • Facilitate approval process for clubs and classes
  • Coordinate communication between club sponsors, Management Team, and marketing

Academic Report Teacher Support

  • Parent/Teacher Conference Support
  • Build and distribute sign-up sheets for all PTCs
  • Assist with deadline communication for grading and parent/teacher conferences
  • Coordinate with registrar on posting PTCs on portal
  • Collaborate with level chairs on editing of teacher reports
  • Support middle school teachers with printing of block reports

Accreditation Support (in years 2-6 of Accreditation 7-year Accreditation cycle)

  • Communicate with ISACS, AWSNA and WECAN about timelines for completion of membership condition and major and minor recommendations
  • Provide progress reports to ISACS, AWSNA and WECAN as needed and requested

General Office Support and Logistics

  • Maintaining up-to-date substitute list
  • Serve as administrative support for class trip and field trip reservations and payment if needed
  • Build out, distribute, and collect data from surveys several times each year for staff evaluations and other community feedback (as requested by the Faculty Director)

Supply Ordering

  • Serve as the point person for annual spring classroom supply orders EC-HS
  • Communicate with classroom supply vendors about discounts, deadline, shipping, etc.

Minimum Required Knowledge, Skills and Abilities:

  • Bachelor’s Degree
  • Minimum of three years’ administrative experience
  • Excellent organizational and planning skills, and strong attention to detail
  • Able to keep information confidential and communicate with discretion
  • Ability to work independently and collaboratively with a solutions-oriented mindset
  • Demonstrated experience working collaboratively with faculty, staff, parents, students and the public.
  • Demonstrated writing and verbal communication skills.
  • Must possess the ability to work successfully in a multi-faceted and sometimes high stress environment, handling multiple tasks and projects simultaneously.
  • Creative project management experience.
  • Willingness to embrace the Chicago Waldorf School, its pedagogical philosophy and the wider Waldorf education movement.
  • Ability to represent the school and the education to a wide range of groups and individuals.
