PCS Administrative and Operations Manager
Location:
Hybrid, with seasonal on-site presence at distribution center/National Box of Joy Screening Center (during Box of Joy peak season and as needed)
Position Summary:
The PCS Logistics Coordinator provides day-to-day operational and administrative support for the Box of Joy Ministry and Food Packing Events. Working closely with the PCS Logistics Manager, this position helps to coordinate domestic shipping, warehouse and screening-center activities, inventory, vendor communications, data tracking and other operational needs.
The Logistics Coordinator is responsible for ensuring that logistics activities are organized, documented and completed accurately and on schedule. This position will communicate with volunteers, staff, dioceses, parishes, vendors, carriers and other partners and will assist in identifying and resolving logistical issues.
The ideal candidate is highly organized, detail-oriented, dependable and proactive, with the ability to manage multiple priorities in a fast-paced environment while providing excellent service to both internal and external stakeholders.
Duties and Responsibilities:
- Assist with Box of Joy Logistics from sign-up and collection through screening center delivery and preparation for international shipment, including coordinating domestic transportation and tracking shipments.
- Support Box of Joy inventory and materials management, including ordering and receiving supplemental items, organizing materials and assisting with inventory counts and reconciliation.
- Communicate with participating locations regarding shipping instructions, schedules, tracking information and logistical questions.
- Assist with communication for parishes/communities actively participating in Box of Joy and Food Packing Events; shipping requests, responding to inquiries, and coordinating resources.
- Coordinate day-to-day warehouse and screening-center operations, including supplies, equipment, inventory organization, carton movement and operational readiness.
- Collaborate with PCS, Donor Program Services, Marketing and other departments to support Box of Joy, Food Packing Events and other logistics-related initiatives and ensure timely communication and coordination.
- Contribute to logistics policies/standard operating procedures (SOPs) that standardize engagement processes and activities related to Box of Joy and Food Packing Events.
- Support and assist with the creation and execution of in-land shipping strategy, inventory control, and transport from participating locations/dioceses to the Box of Joy hub; engage 3rd-party carriers and overland freight bookings.
- Assist with warehouse facilities and tools/resources; direct on-site operations to meet cost, productivity, accuracy, and timeliness goals.
- Collaborate with the Logistics Manager on inventory control, ordering bulk supplies, and shipping of materials required per food packing event or Box of Joy needs.
- Set up the food packing supply bin for each food packing event. Clean up and replenish supplies after events.
- Uphold organizational protocols for donor/volunteer/vendor records and documentation; share constructive feedback to improve processes/strategies.
- Forklift operation certification is a plus.
- Other duties as assigned.

- Proficient in written and verbal communication; Spanish speaking a plus; public speaking comfort and coaching ability.

- Ability to maintain accurate records, reports and documentation.
- Comfortable working with spreadsheets, databases, and other technology used to track logistics and operational activity.

- Ability to maintain confidentiality and exercise good judgment.
- Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint) and Google Docs. CRM experience is a plus.
- The position will work nights/weekends/extended hours as needed.
- This position requires the ability to perform physically demanding work. Essential functions include frequent standing, walking, bending, stooping, kneeling, and reaching. The employee must be able to regularly lift, carry, push, and pull materials weighing up to 50 pounds, with or without reasonable accommodation.
- Experience with performing inventory cycle counts or audits is a plus.
- Willing and able to travel domestically and internationally, possibly 1 to 3 times per year, for conferences, events, and a vision trip to international Cross Catholic Outreach project sites.
- This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means. Travel frequency is expected to be limited and scheduled in advance when possible.
Education or Certification Requirements:
Associate’s degree in business, logistics, operations, administration, or a related field required; bachelor’s degree preferred, or commensurate experience.
