Role Overview:

The purpose of a PBX Operator is to handle incoming and outgoing hotel phone calls efficiently and courteously, forwarding calls appropriately according to standard operating procedures.

Essential Duties and Responsibilities:
  • Approach all encounters with guests and associates in a friendly, service-oriented manner.
  • Maintain a warm and friendly demeanor at all times.
  • Operate the front desk according to standard procedures with exceptional guest service.
  • Accurately operate reservation, check-in/check-out, and credit card systems, following safety and security protocols.
  • Check registration cards for completeness, accuracy, and legibility.
  • Answer calls promptly, courteously, and efficiently.
  • Respond to guest inquiries about hotel services, facilities, and hours of operation.
  • Take and deliver messages as per standards.
  • Maintain guest privacy at all times.
  • Provide accurate directions and information about the hotel and surrounding area.
  • Be familiar with emergency procedures and VIP protocols.
  • Perform call accounting, file PBX reports, and handle guest faxes.
  • Serve as radio dispatcher, relay guest requests, and verify completion.
  • Establish and maintain an efficient filing system for guest registration cards.
  • Process wake-up calls and resolve guest complaints.
  • Maintain regular attendance, personal appearance, and grooming standards.
  • Provide backup to other front office roles as scheduled.
  • Attend meetings and training sessions as required.
  • Perform other duties as assigned by the supervisor.
Physical Activity Requirements:
  • Stand more than 2/3 of the time.
  • Walk less than 1/3 of the time.
  • Sit less than 1/3 of the time.
  • Lift up to 15 lbs.
  • Push/pull up to 10 lbs.
Education and Experience:
  • High school diploma or GED; or one month related experience/training; or equivalent.
