Job summary

Peabody Properties, Inc. is seeking a Payroll Specialist II to manage end-to-end payroll for corporate and on-site employees using UKG Pro and NOVAtime. The role demands strict confidentiality and knowledge of payroll regulations.

You will support the Payroll Supervisor, handle biweekly payroll for multiple sites, ensure timely funding, and respond to employee inquiries with a customer-first approach. Strong Excel skills and CPP/FPC are a plus.

Qualifications

  • 3–5 years of progressive payroll processing experience, ideally within the property management industry.
  • Certified Payroll Professional (CPP) / FPC designation a plus.
  • Strong understanding of multi-state payroll laws, FLSA regulations and taxation.
  • Hands on experience with UKG and NOVAtime.
  • Advanced MS Excel skills, including complex formulas.
  • Excellent written and verbal communication and maintains confidentiality.

Responsibilities

  • Assist Payroll Supervisor in providing resources and answering payroll inquiries.
  • Process employee job, rate, and allocation changes.
  • Set up timesheet profiles for new employees.
  • Accurately process bi-weekly payroll for multi-site and multi-state employees using UKG Pro.
  • Timely funding of payroll and management of wage garnishments or levies.
  • Process 401K fund/loan payments and VOE requests as needed.
  • Serve as primary contact for payroll questions with internal customers.

Description

The Payroll Specialist II is responsible for the end-to-end processing of multi-state payrolls for our corporate and on-site property employees, using UKG Pro and NOVAtime. The Payroll Specialist II is responsible for the end-to-end processing of multi-state payrolls for our corporate and on-site property employees, using UKG Pro and NOVAtime. The role requires a general understanding of payroll regulations and policies pertaining to payroll and labor laws. The strictest of confidentiality is required for this position.

Functions of the Payroll Specialist Role
  • Assist Payroll Supervisor in providing resources, information and assistance to employees regarding administration of biweekly payroll and respond to general payroll inquiries.
  • Process employee job, rate, and allocation changes.
  • Set up timesheet profiles for new employees.
  • Accurately process bi-weekly payroll for multi-site and multi-state employees using UKG Pro
  • Timely funding of payroll.
  • Process industry-specific compensation, including leasing commissions, performance incentives, etc.
  • Ensure strict compliance with federal, state, and local labor and tax laws. Manage wage garnishments, tax levies, and child support orders in accordance with regulatory requirements.
  • Understanding of gross to net payroll and tax reports, i.e. 941s, SUTA, FUTA,
  • Reconciles monthly bank statements
  • Process biweekly payments of 401K fund/loan payments
  • Process verification of employment (VOE) requests from external sources when necessary
  • Serve as the primary point of contact for employee inquiries regarding paychecks, time tracking, and tax withholding, while providing excellent internal customer service.
  • Assist employees in updating their profiles through self-service and password management.
  • Performs general administrative duties, including filing, responding to phone requests and completing special projects, surveys and statistical reports as needed.
  • Perform other duties as may be assigned by your supervisor or other Senior Staff to facilitate effective operations of the Company.
Education And Experience
  • High school diploma or equivalent, college degree preferred.
  • 3–5 years of progressive payroll processing experience, ideally within the property management industry.
  • Certified Payroll Professional (CPP) / Fundamental Payroll Certification (FPC) designation a plus.
  • Strong understanding of multi-state payroll laws, FLSA regulations and taxation.
  • Hands on experience with UKG and NOVAtime.
  • Advanced MS Excel skills, including proficiency with complex formulas.
  • Solid math skills to handle routine calculations and data entry.
  • Excellent written and verbal communication skills and maintains an approachable customer focused demeanor while complying with strict confidentiality and compliance standards.
  • Exceptional attention to detail, strong analytical skills, and the ability to handle sensitive, confidential information with discretion.
  • Ability to take initiative and be self-motivated.
  • Ability to multi-task and perform within strict time limits.
