We are seeking a detail-oriented and experienced Payroll Specialist to manage and process payroll for our organization. The Payroll Specialist will be responsible for ensuring the accurate and timely processing of payroll, compliance with federal, state, and local regulations, and handling payroll-related inquiries. The ideal candidate will possess a strong knowledge of payroll software, particularly UKG Pro and Workforce Management (Dimensions), and have expertise in California and multi-state payroll processing. This position requires a proactive individual who can manage high-volume payroll tasks, resolve discrepancies, and support the overall payroll function.
This is a remote position. Candidates must reside in California, Texas, Washington, Arizona, Nevada, or Oregon.
• Payroll Processing: Accurately process payroll on a weekly, bi-weekly or monthly basis, ensuring compliance with federal, state, and local tax regulations.
• Tax Compliance: Ensure accurate deductions for federal, state, and local taxes, benefits, garnishments, and other withholdings, staying updated on tax laws and payroll regulations.
• Multi-State Payroll: Process payroll for employees in multiple states, ensuring compliance with varying state tax laws, benefits, and wage regulations.
• California Payroll Expertise: Administer payroll in compliance with California-specific requirements, including minimum wage, overtime, meal/rest breaks, and tax withholdings.
• Terminations: Manage payroll for terminated employees, ensuring accurate final paychecks, severance calculations, and compliance with termination laws.
• Payroll Discrepancies: Investigate and resolve payroll discrepancies efficiently, ensuring all payroll-related issues are addressed accurately.
• Reporting: Generate payroll reports for management, accounting, and regulatory bodies.
• Employee Inquiries: Provide exceptional customer service by addressing and resolving employee payroll inquiries related to pay, benefits, deductions, and taxes.
• System Management: Utilize UKG payroll software for accurate data entry, report generation, and system maintenance.
• Compliance: Ensure payroll processing remains compliant with federal, state, and local labor laws and regulations.
• Record Keeping: Maintain accurate payroll records, ensuring proper data entry and compliance with legal retention requirements.
Required Education, Certifications and Work-Related Experience:
• UKG Pro and Workforce Management or similar HRIS/Payroll Software
• At least 3 years of experience in payroll processing or a related administrative role is required. This includes handling payroll data, ensuring compliance with regulations, and understanding payroll software.
• Associate's Degree: A degree in accounting, finance, business administration, or a related field. Experience in lieu of degree is acceptable.
Knowledge, Skills and Abilities Requirements:
• Knowledge of garnishments, benefits administration, and payroll processing, ensuring compliance with company policies and legal regulations.
• Knowledge of payroll-related regulations, including the Fair Labor Standards Act, federal, state and local labor laws, and overtime calculations.
• California/ Multi-State Payroll: Expertise in processing payroll for California and multi-state employees, with a strong understanding of state-specific regulations, including tax laws, overtime, and compliance requirements.
• Terminations: Experience handling payroll for employee terminations, including calculating final paychecks, severance, and ensuring compliance with termination-related laws.
• High Volume Multi-State Payroll: Proven ability to manage and process high-volume payroll across multiple states, ensuring accuracy and timeliness while adhering to various state laws and regulations.
• Payroll Discrepancies: Skilled in identifying, investigating, and resolving payroll discrepancies, ensuring that all issues are addressed promptly and accurately for both employees and the company.
