Job summary

WorkSmart Staffing is seeking a detail‑driven Payroll Administrator to manage end‑to‑end payroll for external employees, ensuring timely, accurate and compliant processing. You will maintain payroll systems, support tax and benefits administration, and conduct regular audits.

In this role you will collaborate with HR and finance, resolve pay discrepancies, prepare W‑2s, review client invoices, and identify process improvements to boost payroll efficiency and service excellence.

Qualifications

• Minimum of 2 years of payroll administration experience, preferably in staffing or multi-entity environment.
• Working knowledge of payroll software systems and timekeeping platforms.
• Solid understanding of wage and hour laws, payroll taxes, and compliance requirements.
• High attention to detail, accuracy, and confidentiality.
• Strong organizational, analytical, and problem-solving skills.
• Proficient in Microsoft Excel and other reporting tools.

Responsibilities

• Process weekly payroll for external employees in compliance with applicable federal, state, and local regulations and company policies.
• Reconcile time records, verify approvals, and ensure all payments are processed correctly.
• Set up new hires in payroll systems and maintain employee databases for timely onboarding.
• Monitor payroll legislation and implement changes to maintain regulatory compliance.
• Ensure wage notices and pay stubs meet state-specific standards and verify classifications per FLSA.
• Maintain payroll records in accordance with retention laws.
• Input and audit deductions, garnishments, and benefits with accuracy and timeliness.
• Conduct regular audits of payroll data and generate internal reports for leadership.
• Collaborate with HR to manage benefits eligibility and enrollments; support W-2 preparation.
• Review client invoices based on payroll data and assist KPI reporting.
• Identify process improvements to enhance payroll operations and service delivery.
