Job summary

International Line Builders, Inc. is seeking a Payroll Specialist to join our fast-growing, high-volume weekly payroll team. You will process and reconcile payroll, maintain records, and ensure compliance with union agreements and confidentiality.

Qualified candidates typically hold a two-year degree or equivalent experience and have at least two years of payroll experience, including union and multistate operations. CPP certification and Spanish fluency are a plus.

Qualifications

  • Payroll fundamentals knowledge with degree or equivalent experience.
  • Minimum 2 years of payroll experience, including union and multistate payroll.
  • Experience with payroll compliance and data privacy.

Responsibilities

  • Oversee timecard submission, review, and verification for hourly, salaried, and union employees.
  • Coordinate with field operations to capture labor hours.
  • Review payroll for accuracy, changes, deductions, and exceptions.
  • Reconcile pay, deductions, and payroll data with labor agreements.
  • Maintain payroll systems and employee records with privacy in mind.
  • Answer payroll questions and escalate issues when needed.
  • Process new hires, terminations, and changes with HR and Payroll Manager.

We are seeking motivated, adaptable, detail-oriented candidates with previous payroll experience to join our dynamic, high-volume, weekly-processing team.

The Payroll Specialist processes and reconciles payroll, maintains payroll records and systems, and ensures compliance with union agreements, applicable laws, internal controls, and confidentiality requirements.

MINIMUM QUALIFICATIONS
  • Must possess a working knowledge of payroll fundamentals and principles at a level normally acquired through the completion of a two-year associate degree in accounting or business administration, or related fields or equivalent experience.
  • Minimum two (2) years of payroll experience, including significant experience with construction, multistate, union, and complex payroll operations.
PREFERRED QUALIFICATIONS
  • Certified Payroll Professional (CPP) Certification.
  • Experience supporting payroll operations within a publicly traded company environment.
  • Fluency in Spanish.
  • Experience processing payroll in California.
KEY SKILLS & COMPETENCIES
  • Experience with collective bargaining agreements, union pay types, and compliance requirements.
  • Strong organization, accuracy, attention to detail, and ability to manage priorities and meet deadlines.
  • Advanced Microsoft Office suite applications and Adobe PDF skills.
  • Strong written and verbal communication, including accurate grammar, spelling, and punctuation.
  • Collaborate effectively at all levels to deliver high-quality service.
  • Proactively removes obstacles and resolves issues before they affect results.
  • Maintain confidentiality of sensitive information.
  • Navigates ambiguity by analyzing multiple data points to identify issues and trends.
JOB RESPONSIBILITIES
  • Oversee timecard submission, review, and verification for hourly, salaried, and union employees.
  • Coordinate with field operations to accurately capture labor hours.
  • Review payroll before release for accuracy, completeness, authorized changes, deductions, funding, and material exceptions.
  • Reconcile pay, deductions, payroll data, and timecards with company policies and labor agreements.
  • Maintain payroll systems, employee records, supporting documentation, and data privacy compliance.
  • Answer employee questions about pay, timekeeping, benefits, and accruals, escalating issues as needed.
  • Prepare control documents and reconcile third-party payments, including garnishments and levies.
  • Partner with HR and the Payroll Manager to process new hires, terminations, pay changes, and position updates.
  • Work with Accounting and unions to maintain payroll codes in compliance with laws and collective bargaining agreements.
  • Recommend payroll process and system improvements.
  • Collaborate with Finance and HR to support reporting and cost-control objectives.
  • Execute payroll-related financial controls, including approvals, access, master-data changes, interfaces, reconciliations, segregation of duties, and record retention.
  • Perform other duties and special projects as assigned.
COMPENSATION & BENEFITS
  • Wage range: $28 - 30 hourly.
