Job summary

Actalent is seeking a Payroll Specialist to join a growing professional services organization and ensure accurate, on-time payroll across multiple states. The role emphasizes ADP Workforce Now proficiency, multi-state compliance, and delivering exceptional service.

The ideal candidate has hands-on ADP Experience and a background in payroll for 500+ employees, preferably within AEC or related professional services. This position is based in Woodbury, NY with a hybrid work arrangement.

Qualifications

  • Associate degree or higher in Business Administration, Accounting, Finance, or related field, or equivalent experience.
  • Hands‑on experience with ADP Workforce Now is required
  • Strong knowledge of FLSA, payroll tax regulations, and wage compliance requirements.

Responsibilities

  • Process and audit employee timesheets, including manual entry into ADP Workforce Now, ensuring compliance with policies and laws.
  • Administer full-cycle payroll for multi-state operations, including weekly processing, reporting, reconciliations, and audits.
  • Maintain and update employee payroll records, including new hires, terminations, changes, and deductions.
  • Review and process employee expense reports and reimbursements, including manual checks and ACH payments.
  • Process PTO, benefit time, and time-off requests per policy.
  • Assist with 401(k) plan administration, reporting, and recordkeeping.
  • Assist with audits, including certified payroll or project-related reporting.
  • Perform other payroll, accounting, and administrative duties as needed.

Job Description

We're looking for a skilled Payroll Specialist to join a growing professional services organization and play a key role in ensuring employees are paid accurately and on time across multiple states. This is an excellent opportunity for a payroll professional who thrives in a fast-paced environment, enjoys working with complex payroll processes, and takes pride in delivering exceptional accuracy and service. The ideal candidate will have hands‑on experience with ADP Workforce Now, a strong understanding of multi‑state payroll compliance, and prior experience supporting architecture, engineering, construction (AEC), or other professional services organizations.

  • Process and audit employee timesheets, including manual entry into ADP Workforce Now, ensuring compliance with company policies, union agreements (if applicable), and Federal, State, and Local labor laws.
  • Administer full‑cycle payroll for multi‑state operations, including weekly payroll processing, reporting, reconciliations, and audits for accuracy and compliance.
  • Maintain and update employee payroll records, including applying updates regarding new hires, terminations, leave of absence, compensation changes, tax withholdings, direct deposit details, and benefit deductions.
  • Review and process employee expense reports and reimbursements, including manual checks and ACH payments.
  • Process employee paid time off (PTO), benefit time, and time‑off requests in accordance with company policy.
  • Support administration of the Company’s 401(k) plan, including employee changes, compliance reporting, and recordkeeping.
  • Assist with internal and external audits, including certified payroll or project‑related reporting if applicable.
  • Perform other payroll, accounting, and administrative duties as needed to support business operations.
Additional Skills & Qualifications
  • Associate’s degree or higher in Business Administration, Accounting, Finance, or related field, or equivalent experience.
  • Hands‑on experience with ADP Workforce Now is required
  • Strong knowledge of FLSA, payroll tax regulations, and wage compliance requirements.
  • Experience processing payroll for 500+ employees and/or multiple payroll cycles preferred.
  • AEC (Architecture, Engineering, Construction) or professional services industry experience strongly preferred, including familiarity with project‑based labor tracking, billable hours, or prevailing wage environments.

Pay and Benefits

The pay range for this position is $65000.00 - $95000.00/yr.
