Job summary

Vestis is seeking a Group Payroll Processor to manage payroll, HR and benefits administration for a network of market centers and depots across North America. This role ensures compliance with union rules and federal/state wage and tax laws, while collaborating with HR, Benefits and Payroll teams.

The position requires strong attention to detail, ability to run reports, and effective communication with all management levels.

Qualifications

  • Proficient with PC and Excel, TimeTrak, ADP Enterprise and related programs.
  • Ability to run reports, analyze data, and communicate findings clearly.
  • Able to communicate with all levels of management and collaborate with HR, Benefits, and Payroll.

Responsibilities

  • Provides all new hire documents for verification.
  • Administers eligibility to work in the United States (SSN verification).
  • Receives results from required drug testing and physical exams of applicants.
  • Performs audits of new hire information for accuracy and completeness.
  • Holds paperwork until all documentation is complete or corrected.
  • Inputs new hire data into the HRIS and timekeeping systems.
  • Sets up and maintains appropriate employee taxation.
  • Handles compliance requests including contracts, unemployment, and audits.
  • Notifies of pay, status, location, and position changes and provides required documentation.
  • Inputs information into HRIS for payroll and other processes.
  • Deciphers and applies pay, vacation, overtime, holidays per union agreements.
  • Processes weekly payroll in HRIS including hours, commissions, bonuses, and incentives.

Overview

The Group Payroll Processor is responsible for the administration and processing of all Human Resources, Benefits and Payroll functions for a group of market centers, their depots, and satellite locations. The Group Payroll Processor is responsible for the consistent compliance with company policies, union rules, and federal and state wage, hour, and tax laws.

Responsibilities / Essential Functions
  • Provides all new hire documents and information required to conduct verification of information.
  • Administers the eligibility to work in the United States (SSN Verification).
  • Receives results on required drug testing and physical exams of applicants.
  • Performs audits of the information received on new hires to ensure accuracy and completeness.
  • Holds paperwork until any missing or incomplete documentation has been either received or corrected.
  • Inputs the new hire into the HRIS system and the timekeeping system.
  • Responsible for setting up and maintaining the appropriate taxation for employees.
  • Responds to compliance requests including contract details, unemployment, and audits.
  • Receives notification of all pay, status, location, and position changes and provides all required documentation.
  • Inputs the information into the HRIS system.
  • Deciphers and applies rules for pay, vacation, overtime, holidays, etc. for all Union Agreements.
  • Inputs in HRIS the weekly payroll including hours, commissions, bonuses, incentives, Route Sales Representative (RSR) hours and pay.
  • Performs other duties as assigned or requested.
Minimum Specifications
  • Highly proficient in operation and understanding of the PC and its functionality, including but not limited to Excel, TimeTrak, ADP Enterprise system, and other programs.
  • Must have the ability to run various reports, analyze the contents, and communicate the information when requested.
  • Must be able to professionally communicate with all levels of management and respond positively and effectively when communicating with employees.
  • Must be able to work closely with representatives from Human Resources, Benefits, and Payroll.
  • A good problem solver with the ability to think through an issue to propose and initiate solutions.
  • Able to develop processes for the Market Centers to ensure the paperwork flow and information exchange is successful.
  • Highly organized and detail oriented.
  • Must be able to handle multiple tasks and be a self-starter.
  • Must be self-directed and able to follow-up and take initiative to get the job accomplished.
  • Must be able to meet deadlines and coordinate processing within time constraints.
Knowledge / Skills / Abilities
  • Proven knowledge of ADP Enterprise systems and time and attendance systems preferred but not required.
  • Demonstrated business savvy to effectively communicate and work with various levels of staff and management.
  • Excellent communication skills both written and verbal.
  • Excellent organizational and interpersonal skills.
  • Proven ability to exercise sound judgment and strong problem-solving skills.
  • Ability to manage competing priorities between multiple business units and/or market centers.
  • Demonstrated skills in MS Office including Excel, Word, and Outlook.
Experience

Three to five years of experience as group payroll processor in a corporate environment preferred but not required.

Travel Requirements

Minimum travel required.

Education

The successful candidate will possess a High School Diploma.
