Job description

Payroll Manager based in the United States. This is a high-impact payroll leadership role overseeing end-to-end payroll operations for a 500+ person, multi-state workforce.

You’ll own payroll accuracy, timeliness, compliance, and employee data integrity across US and international payroll populations.

The role serves as a key bridge between Finance and People, ensuring payroll information flows smoothly across both functions.

You’ll bring deep expertise in multi-state wage and hour requirements, with particular responsibility for complex state regulations.

Beyond payroll processing, you’ll contribute to financial reporting, headcount planning, audits, and process improvements.

The ideal candidate is highly detail-oriented, comfortable with complexity, and confident working across teams in a remote-first environment.

This is an opportunity to strengthen and scale payroll operations within a fast-growing organization while becoming a trusted subject-matter expert.

Accountabilities
  • Own and execute the full payroll cycle for US and international employees and contractors, ensuring accurate, timely, and compliant payments.
  • Administer payroll operations through Rippling HCM, including pay runs, tax setup, deductions, employee data, and payroll records.
  • Review timecards for 300+ hourly employees each pay cycle, identifying meal and rest break violations, split-shift triggers, reporting-time obligations, and other wage-and-hour issues.
  • Calculate and process applicable penalties, premiums, and top-ups, while auditing system-calculated overtime, including California daily, weekly, and seventh-day rules and other state-specific requirements.
  • Serve as the primary liaison between People and Finance, coordinating payroll inputs such as new hires, terminations, compensation changes, leaves, commissions, bonuses, wage garnishments, and court-mandated deductions.
  • Partner with department and business leaders to process commission and bonus payments, ensuring calculations, approvals, and timing align with applicable plans and policies.
  • Lead payroll compliance across US states and applicable federal requirements, including wage and hour laws, payroll taxes, unemployment insurance, unclaimed property, and benefits-related reporting.
  • Act as the subject-matter expert for multi-state payroll compliance, particularly across California, Oregon, Washington, Colorado, New York, Nevada, and Minnesota.
  • Monitor payroll tax deposits and filings, resolve tax notices with payroll providers and government agencies, and maintain records according to applicable retention requirements.
  • Investigate and resolve employee payroll questions and discrepancies accurately and promptly.
  • Maintain and improve payroll policies, procedures, controls, and workflows, identifying opportunities to automate and streamline operations.
  • Partner with Finance during month-end close to reconcile payroll expenses, explain variances, provide supporting documentation, and contribute payroll cost data to headcount planning and forecasting.
  • Support internal and external audits involving payroll, tax, and compliance, as well as other payroll-related projects.
Requirements
  • 5+ years of multi-state payroll experience, ideally supporting a remote workforce of 600+ employees across both exempt and non-exempt populations.
  • Experience processing varied compensation structures, including regular payroll, off-cycle payments, commissions, bonuses, incentives, leave top-ups, and termination pay.
  • Deep knowledge of wage and hour compliance, including meal and rest breaks, split shifts, reporting time, and state-specific overtime regulations.
  • Hands-on experience with Rippling Payroll and Rippling Time & Attendance.
  • Strong working knowledge of payroll compliance in California, Oregon, Washington, Colorado, New York, Nevada, and Minnesota.
  • Familiarity with state and local payroll tax registrations, filings, deposits, unemployment requirements, and related compliance obligations.
  • Experience partnering cross-functionally with People/HR and Finance teams, with a strong understanding of how payroll expenses feed into month-end close.
  • Strong Excel and/or Google Sheets skills, including experience creating payroll reports, reconciliations, and data analyses.
  • Exceptional attention to detail and organization, with a demonstrated ability to deliver accurate work on schedule while managing competing deadlines.
  • Strong communication and stakeholder-management skills, with the confidence to serve as a trusted payroll resource across the organization.
  • Ability to thrive in a fast-paced, high-growth, remote-first environment.
  • Experience supporting headcount planning or workforce cost forecasting with Strategic Finance or FP&A teams is a plus.
  • Certified Payroll Professional (CPP) certification is a plus.
Benefits
  • Salary: $85,000–$100,000.
  • Premium healthcare: Medical, dental, and vision coverage with options for employees and families; some plans may include 100% premium coverage.
  • Wellness and mental health benefits: Shared benefits available for employees and their families.
  • Flexible paid time off: Designed to support balance and sustainable performance.
  • Equity: Stock options providing an opportunity to participate in long-term company growth.
  • 401(k): Access to a 401(k) retirement plan through Guideline.
  • Remote work support: Home office setup and a monthly stipend to help offset internet and phone costs.
