Wohlsen Construction Company is seeking a Payroll Administrator to manage and maintain their payroll systems for a multi-state employee base. The role includes ensuring compliance with payroll regulations, processing payroll, and collaborating with HR and Finance teams. Candidates should possess significant payroll experience, strong organizational and communication skills, and the ability to work independently in a detailed-oriented environment.
About Your Opportunity:
You will be responsible for maintaining accurate multi-state company payroll system to ensure that computing, withholding, and deductions are done properly for an employee base of 200-400.
How You Will Contribute:
• Establish, update, and maintain accurate and secure payroll system following federal, state, and local tax regulations and Company policies.
• Manage timely and accurate administration, compliance and accounting of all payroll taxes, voluntary deductions, and involuntary deductions such as levies and garnishments, and unemployment reporting.
• Responsible for controlling timely and accurate payrolls for all entities including weekly, biweekly, bonuses, special requests, etc.
• Maintain compliance reporting with information provided by Finance.
• You will establish and maintain prevailing wage tables and all compliance reporting required for Davis Bacon and state prevailing wage projects.
• Prepare and coordinate our audits with accounting firms and regulators.
• Reconcile General Ledger accounts related to all payroll taxes and related withholdings.
• Process year-end activities including completion of W-2’s
• Evaluate, recommend, and implement changes related to payroll, policies, and practices.
• Maintain and configure payroll systems; identify and resolve issues; test and implement system upgrades.
• Communicate payroll changes, updates, information to the organization as appropriate.
• Update knowledge by keeping current with payroll regulations and accepted practices and participating in educational opportunities.
• Collaborate with all team members within the company and provide quality customer service.
• Maintain confidentiality of team member information.
• Provide support and backup to HR Generalist with CMiC system to ensure correct team member deduction withholdings and accruals.
• Participate in new employee orientation about timekeeping and payroll items. Order payroll checks, envelopes, state forms and W-2’s. Support special projects or requests.
Relationships:
· Reports to the Director of Human Resources
· Provides support to Human Resources team as needed
Interacts with all Team Members
· Works closely with the Finance Team
Accountability:
· Ensures payroll is accurate and timely
· Process data and tax information accurately and on time
· Offer Raving Fan Service at all times
Authority:
· Authorized to sign off on regulatory filings and payroll reports
· Empowered to recommend and implement process improvements and system changes
· Develop and implement Payroll policies and procedures
Qualifications:
• Associate’s degree or equivalent training/education/work experience
• Five years’ experience in payroll related functions including exposure to the construction industry and multi-state payroll reporting with knowledge of federal, state, and local tax regulations.
• CPP designation preferred
• Experience handling complex payroll taxation and reporting
• Working knowledge of computerized payroll systems
• Working knowledge of accounting principles, auditing concepts, and controls
• Must have attention to detail and ability to abide to strict confidentiality
• Must have strong organizational skills
• Must be able to work without supervision
• Proficient in MS Office programs. Excellent administration, planning and analyst skills.
• Strong communication skills, written and verbal.
Physical Requirements
In a normal day, this position requires little to no standing or walking. In a normal day, the employee must be able to sit for 7+ hours. In a normal day, the employee must be able to drive 1-4 hours. Employee must be able to lift/carry up to 10 lbs. maximum; occasionally carry small objects. In this position, employee occasionally (0-33%) must be able to bend at waist, squat the knees, climb (including ladders), reach above shoulders, kneel, crawl, use feet (foot controls), and/or work at heights above 6 feet.
