Job summary

City Colleges of Chicago is seeking a Payroll & HRIS Analyst to ensure timely, accurate payroll processing and to provide guidance on the PeopleSoft HCM system across seven colleges and satellite sites.

The role supports federal and state tax compliance, system upgrades, and process improvements while maintaining documentation and responding to payroll inquiries from employees and management.

Qualifications

  • Bachelor's degree with at least three years in HR applications, payroll, or related fields.
  • Three years of PeopleSoft or similar HRIS experience.
  • Experience improving processes and managing projects.
  • Knowledge of federal and state payroll tax laws.
  • Strong knowledge of PeopleSoft HCM and HR functions.

Responsibilities

  • Participate in HRIS project work and system upgrades.
  • Provide guidance on PeopleSoft HCM usage and related components.
  • Create and maintain system and process documentation.
  • Run queries and produce reports from PeopleSoft HCM.
  • Assist with payroll processing, audits, and related inquiries.
  • Coordinate new employee orientation and train managers on timekeeping.
  • Ensure timely and accurate biweekly payroll processing.

Job description

City Colleges of Chicago (CCC) , the largest communitycollege system in Illinois, is made up of seven colleges and fivesatellite sites, providing more than 70,000 students each yearaccess to a quality, affordable education.

PRIMARY OBJECTIVE

CCC’s Office of Human Resources is committed to fostering anenvironment that attracts, motivates, and retains a highly skilledand diverse workforce. In support of this mission, the Payroll& HRIS Analyst is responsible for ensuring timely, accurateand effective processing of payroll disbursements for all employeesin compliance with federal and state tax regulations andrequirements, and providing functional and technical support andguidance in CCC’s utilization of human resource informationsystems.

ESSENTIAL DUTIES
  • Participates in project work related to new HRIS systems orupgrades to existing systems.
  • Provides the HRIS Director with recommendations to improve thefunctionality of the PeopleSoft HCM system and any additionalnon-PeopleSoft related components.
  • Creates and maintains system and or process documentation.
  • Uses PeopleSoft query tools to create and run routine queries andproduce reports from the PeopleSoft HCM system.
  • Ensures that any regularly scheduled reporting processes areexecuted by documented deadlines.
  • Audits system capabilities for accuracy, integrity, andfunctionality by performing system testing, monitoring anddocumenting test results.
  • Assists in running payroll reports as needed.
  • Administers payroll-related functions including but not limitedto processing new hires, terminations, wage garnishments, deductionupdates, pension and all entry related to employee masterfile.
  • Assists in all biweekly payrolls to ensure they are processed ina timely and accurate manner.
  • Assists with pension inquiries and tickets.
  • Coordinates new employee orientation.
  • Trains new managers on proper timekeeper procedures.
  • Performstimekeeper audits (no lunch violations, PT/FT hoursaudits, & no hours worked).
  • Responds to payroll-related inquiries including but not limitedto, payroll deductions, wage garnishments, child support payments,PTO and Sick accruals, retroactive pay calculations, tax questions,employment verifications and resolves employee paycheckissues.
  • Assists with preparation for regular and annual payrollaudits.
REPORTING RELATIONSHIPS

Reports To: Director-Payroll & HRIS

Direct Supervision: Payroll Manager & HRIS Manager

QUALIFICATIONS
  • Bachelor's degree in a relevant field with at least three yearsof experience in the areas of HR applications, database management,and payroll management, or an equivalent combination of trainingand experience for a large organization
  • Three years of technical expertise in PeopleSoft or a similarHRIS
  • Experience identifying, implementing, and executing improvementsto existing processes
  • Experience in project management
  • Understanding of federal and state tax laws and their impact onpayroll
  • Demonstrated functional knowledge in PeopleSoft Human CapitalManagement (HCM)
  • Strong working knowledge of various HR functions e.g. recruiting,compensation, benefits administration and payroll processing.
  • Ability to successfully manage complex, ambiguous, and multiplepriorities
  • Ability to work well with persons at all levels of theorganization, including external parties
  • Ability to handle all situations with tact, persuasiveness, anddiplomacy
  • Must possess and maintain a high level of confidentiality
  • Must be self-directed and able to meet deadlines with a highlevel of accuracy and in a timely manner.
  • Excellent interpersonal communication and presentationskills
  • Proficient in the use of Microsoft Office (Word, Excel andPowerPoint)

Salary Range: $56,067 - $65,000

Offered salary will be determined by the applicant's education,knowledge, skills and abilities, as well as other factors such asinternal equity.
